We are seeking an experienced Cosmetic Call Center Representative to join our team in Voorhees, NJ. This position is ideal for a polished, personable, and highly organized professional who understands the cosmetic and aesthetic patient experience and enjoys helping patients feel confident and cared for from their very first phone call.
The schedule is Monday-Friday either 8am-430pm or 830am-5pm
You will serve as a primary point of contact for patients calling on behalf of multiple cosmetic and facial plastic surgeons, assisting with inquiries, scheduling consultations and procedures, answering questions, and ensuring every patient receives an exceptional experience.
Responsibilities
- Answer a high volume of incoming calls in a professional, warm, and engaging manner
- Represent multiple cosmetic and facial plastic surgeons and confidently communicate information about their services
- Schedule cosmetic consultations, procedures, follow-up appointments, and other patient visits
- Understand and communicate physician-specific scheduling requirements and cosmetic services
- Respond to patient questions regarding consultations, procedures, preparation, and general office information
- Provide an exceptional customer service experience while maintaining a polished and professional demeanor
- Identify opportunities to convert inquiries into consultations and appointments
- Follow up with prospective patients as appropriate to encourage scheduling
- Handle patient concerns and questions with empathy, discretion, and professionalism
- Accurately document calls, patient information, and scheduling details in the electronic medical record
- Coordinate with physicians, surgical teams, aesthetic staff, and office personnel to ensure a seamless patient experience
- Manage multiple phone lines, conversations, and priorities while maintaining accuracy
- Maintain patient confidentiality and comply with HIPAA and company policies
- Perform other administrative and call center duties as assigned
Qualifications
- 2+ years of experience in a cosmetic, plastic surgery, dermatology, aesthetics, medical spa, or similar healthcare call center/office environment preferred
- Strong knowledge and understanding of cosmetic and aesthetic services
- Previous experience scheduling consultations and procedures is highly preferred
- Exceptional telephone etiquette and communication skills
- Warm, confident, and personable demeanor
- Ability to build rapport with patients and make them feel comfortable and valued
- Strong sales and appointment-conversion skills
- Excellent organizational and multitasking abilities
- Strong attention to detail and accuracy
- Ability to remain calm and professional when handling difficult or upset patients
- Comfortable working in a fast-paced environment with multiple providers and locations
- Experience with electronic medical records and scheduling systems preferred
- Must be comfortable working 100% in person in our Voorhees, NJ office
