Duties
- Assist in planning, organizing, and managing project timelines to ensure timely completion of deliverables
- Coordinate communication between clients, vendors, and internal teams to facilitate smooth project flow
- Maintain detailed records of project progress, including updates on milestones, budgets, and resource allocation
- Support the preparation of project documentation such as reports, proposals, and presentations using productivity software
- Manage administrative tasks including data entry, filing, calendar management, and scheduling meetings or site visits
- Handle front desk responsibilities such as answering multi-line phone systems with professionalism and courtesy
- Provide excellent customer support by addressing client inquiries promptly and professionally
Qualifications
- Construction experience
- Proven office management or administrative experience with strong organizational skills
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and familiarity with spreadsheets for data analysis
- Computer literacy with technical proficiency in data entry, proofreading, and document formatting
- Experience with QuickBooks or similar accounting software is a plus
- Excellent phone etiquette and customer service skills for effective client communication
- Bilingual abilities are preferred to serve diverse client needs effectively
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a personal assistant or in office support roles is advantageous
- Familiarity with multi-line phone systems, filing systems, and calendar management tools
