Amada Senior Care is looking for an energetic, organized, and motivated Operations Support Coordinator to become an integral part of our growing leadership team.
This is much more than an administrative position. You'll be a key member of our Operations Department, helping ensure our clients receive exceptional care while supporting the caregivers who make that possible every day.

What You'll Do
As our Operations Support Coordinator, you'll work closely with our Operations Manager and Lead Scheduler to keep our agency running smoothly.
Your responsibilities will include:
Scheduling & Operations
- Assist with daily caregiver scheduling and staffing coordination
- Help fill open shifts while maintaining continuity of care
- Respond to caregiver call-offs and scheduling changes
- Support after-hours weekday on-call coverage on a rotating basis
- Monitor schedules and ensure accurate documentation in AxisCare
- Help solve staffing challenges quickly and efficiently
Client & Caregiver Communication
- Answer incoming office calls with professionalism and compassion
- Build strong relationships with clients, families, and caregivers
- Communicate schedule updates and resolve routine concerns
- Deliver exceptional customer service during every interaction
Recruiting & Hiring Support
- Conduct caregiver phone screenings
- Schedule and coordinate interviews
- Follow up with applicants throughout the hiring process
- Assist with onboarding and orientation preparation
- Support recruiting initiatives and hiring events
Administrative Support
- Maintain employee and client documentation
- Assist with office projects and daily operations
- Support multiple departments as our agency continues to grow
- Help improve processes and contribute new ideas

Qualifications
- 2+ years of experience in an administrative, patient access, scheduling, staffing coordination, medical office, healthcare operations, or customer service role.
- Strong proficiency with the Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Excellent verbal and written communication skills with the ability to build rapport with clients, families, caregivers, and referral partners.
- Exceptional organizational skills with a high level of attention to detail.
- Ability to prioritize multiple tasks and adapt quickly in a fast-paced, ever-changing environment.
- Strong critical-thinking, problem-solving, and decision-making skills.
- Professional phone etiquette with a customer-first mindset.
- Ability to maintain confidentiality and exercise sound judgment.
- Experience in home care, healthcare, medical scheduling, staffing, patient access, or workforce coordination is strongly preferred.
- Experience with scheduling software, electronic health records (EHR), or home care management software such as AxisCare is a plus.
- A positive attitude, strong work ethic, and willingness to learn and grow within a rapidly expanding organization.
