Commercial Properties Management, LLC is seeking a highly organized, analytical, and detail-oriented Lease Administrator to join our growing team. This position plays a critical role in the administration of our commercial real estate portfolio by ensuring lease accuracy, financial compliance, and timely execution of lease-related obligations.
The Lease Administrator serves as the liaison between Property Management, Accounting, Legal, landlords, and tenants to ensure lease obligations are administered accurately and efficiently. The ideal candidate possesses excellent organizational skills, strong analytical skills, and experience interpreting commercial lease documents.
Essential Responsibilities
Lease Administration
· Review, abstract, and accurately enter lease terms, financial obligations, and critical dates into the MRI property management system.
· Maintain complete and accurate electronic lease files and supporting documentation.
· Verify lease documentation complies with company standards and internal procedures.
Critical Date Management
· Monitor lease expirations, renewals, rent commencement dates, option exercise deadlines, rent escalations, and other contractual milestones.
· Notify appropriate team members of upcoming deadlines to ensure timely action.
· Maintain reporting systems to track all critical lease events.
Financial Administration
· Review and reconcile monthly rent payments, Common Area Maintenance (CAM) reconciliations, real estate tax billings, insurance charges, and other tenant obligations.
· Audit lease charges to ensure compliance with lease provisions.
· Coordinate with the Accounting Department to resolve billing discrepancies.
· Calculate rent increases, percentage rent, CPI adjustments, and other variable lease provisions.
Lease Documentation
· Prepare lease amendments, renewals, assignments, terminations, estoppel certificates, and other lease-related documents in coordination with legal counsel.
· Track document execution and maintain complete lease records.
· Ensure executed documents are properly distributed and filed.
Tenant & Landlord Relations
· Serve as the primary point of contact for lease administration questions from landlords, tenants, attorneys, and internal departments.
· Respond promptly to billing inquiries, lease interpretation questions, and documentation requests.
· Maintain positive professional relationships while ensuring lease compliance.
Reporting & Analysis
· Prepare monthly and ad hoc reports for executive leadership regarding critical lease dates, rent rolls, lease expirations, vacancy reports, financial obligations and portfolio occupancy
Compliance
· Ensure lease administration practices comply with company policies and applicable legal requirements.
· Support internal and external audits by providing requested lease documentation.
· Maintain confidentiality of financial and legal information.
Qualifications
Preferred Education
Associate’s or Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field (or equivalent practical experience).
Preferred Experience
2–5 years of experience in commercial lease administration, real estate paralegal work, or commercial property management.
Technical Skills
· Advanced proficiency in Microsoft Suite, particularly Excel.
· Experience with MRI Software preferred.
· Experience with lease accounting or commercial property management software.
· Ability to learn new software systems quickly.
Knowledge & Skills
· Strong understanding of commercial lease terminology and lease provisions.
· Excellent mathematical and analytical abilities.
· Ability to interpret complex legal and financial language.
· Outstanding organizational and time-management skills.
· Excellent written and verbal communication skills.

· Ability to manage multiple priorities and meet deadlines.
