A multifamily real estate company is seeking a Office Administrator/Assistant Property Manager to join our team! The ideal candidate will be responsible for assisting in all aspects of property management operations. This is a very versatile role that will require someone who is a quick learner and has excellent customer service skills.
Key Responsibilities
- Assist the Property Manager with day-to-day operations of residential properties, ensuring they are well-maintained and compliant with regulations.
- Manage leasing functions, including advertising vacancies, conducting property tours, screening applicants, preparing lease documents, and coordinating move-ins and move-outs.
- Respond promptly and professionally to resident inquiries, service requests, and complaints to foster positive tenant relations.
- Monitor and track rent payments, late notices, and delinquency follow-ups.
- Conduct regular property inspections and coordinate maintenance or repairs with vendors and contractors.
- Maintain accurate resident files, lease agreements, and compliance documentation.
- Support marketing strategies to attract new tenants and retain current residents.
- Assist with preparing reports, budgets, and other administrative tasks as assigned by the Property Manager.
Qualifications
- Prior leasing experience is strongly preferred (apartment leasing or other residential real estate experience).
- Knowledge of Fair Housing laws, leasing procedures, and landlord/tenant regulations.
- Strong customer service and communication skills with the ability to build positive resident relationships.
- Highly organized with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with property management software (e.g., Yardi, AppFolio, Buildium) and Microsoft Office Suite.
- Ability to work both independently and collaboratively as part of a property management team.
Working Conditions
- Full-time position; some evenings or weekends may be required to accommodate leasing activities.
- Combination of office work and on-site property visits.
- May involve occasional travel between residential communities.
