We are seeking an experienced and detail-oriented Surgery Scheduler to support our busy urology practice. This role plays a critical part in coordinating a wide range of urologic procedures—from in-office treatments to hospital-based surgeries—while ensuring patients feel informed and supported every step of the way.
The ideal candidate understands the pace of a specialty clinic, can manage multiple providers and facilities, and is confident navigating insurance and surgical workflows.
What You’ll Do
- Coordinate and schedule urologic procedures (e.g., cystoscopies, biopsies, hospital-based surgeries, and outpatient procedures)
- Serve as the primary point of contact for patients regarding surgical scheduling, preparation, and follow-up
- Obtain and track pre-operative clearances (labs, imaging, EKGs, PCP/specialty clearance)
- Work closely with providers, medical assistants, hospitals, and surgery centers to align schedules and case details
- Verify insurance requirements, authorizations, and referrals as needed
- Ensure all surgical documentation is accurate and completed in a timely manner
- Schedule post-operative appointments and manage recalls or follow-ups
- Maintain detailed, organized records within the EMR system
- Support administrative tasks including faxing, scanning, and coordination with external offices
What You Bring
- High school diploma or equivalent
- 1+ year of medical office or specialty clinic experience (urology experience strongly preferred)
- 1+ year of surgery scheduling experience (required for consideration)
- Familiarity with urologic procedures and terminology is a strong plus
- Experience with EMR systems
- Working knowledge of insurance verification and prior authorizations
- Strong communication skills with the ability to guide patients through complex processes
- Highly organized with strong attention to detail
- Ability to manage competing priorities in a fast-paced environment
