We are seeking a dedicated Director's Assistant to support our Residential Crisis Program. Position Summary
The Director's Assistant reports directly to the Director of Residential Services and is responsible for providing a wide range of administrative and operational support functions. This position requires exceptional organization, professionalism, confidentiality, and the ability to work independently while managing multiple priorities. The Director's Assistant plays a key role in supporting departmental operations, maintaining compliance-related documentation, coordinating schedules and trainings, assisting with audits, and ensuring efficient communication across residential programs.
Qualifications
Required
-
Minimum of 2 years of experience providing administrative support at the director/regional level

High school diploma, associate's or bachelor's degree preferred

Strong ability to work autonomously without constant supervision while remaining on task and completing goals

Excellent written and verbal communication skills

Proficiency with Microsoft Office (Word, Excel, Power Point, etc.)

Strong attention to detail with a commitment to accuracy and quality

Ability to manage multiple projects simultaneously
Physical Requirements

Ability to sit, stand, walk, and use standard office equipment for extended periods
- Ability to lift and carry office supplies up to 25 pounds occasionally
- Ability to travel between residential locations as needed
- Ability to perform occasional local errands

What You'll Do
Administrative Operations & Compliance
-
Assist with scheduling, billing, and administrative processes in accordance with company policies and procedures
- Track and maintain administrator certifications and required documentation
- Maintain employee rosters and personnel files
- Research regulatory requirements and compliance standards as assigned
- Assist with the creation, organization, and maintenance of resident files in accordance with regulatory standards
- Conduct monthly random audits of resident documentation
- Assist with all residential audits and quality assurance activities
Scheduling & Coordination

Maintain department calendars, meetings, and appointment schedules
- Attend meetings as needed and prepare, organize, and distribute meeting notes
- Support activity calendar development by researching community activities and resources
- Coordinate annual training assignments and monitor completion
- Assist with scheduling and tracking CPI and Ukeru training requirements
Reporting & Project Support

Participate in financial tracking and departmental budget monitoring
- Monitor the timely completion of reports, reviews, and written materials
- Prepare staffing reports and identify staffing needs for leadership review
- Assist with the development of annual Quality Assurance reports
- Track and compile Parent, Conservator, Guardian, and Resident survey data
- Serve as Project Manager on assigned departmental projects
Communication & Administrative Support

Draft professional correspondence, reports, and emails
- Communicate concerns and operational issues to the Director promptly
- Monitor and communicate technology and equipment needs
- Order office and program supplies as needed
- Maintain professionalism and confidentiality in all communications
Additional Responsibilities

Travel to residential homes as requested by the Director
- Run occasional local errands
- Perform other duties as assigned
