OVERVIEW
Completes a variety of administrative tasks to support program operations, such as processing client intakes, maintaining client data, and preparing reports and billing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
•
Support, promote and adhere to the mission, values and Code of Conduct of Intervention Inc.
•
Regular and predictable attendance.
•
Attend required trainings and meetings; apply skills and knowledge.
•
Drives personal car to other sites as required, including in adverse weather.
•
Provide support to administrative support staff and management, such as maintaining and collecting basic employee HR information, maintaining and order supplies, or other tasks
•
Complete variety of administrative tasks as directed.
•
Attend and take minutes for weekly staff meetings.
•
May update waitlist, ensuring it is timely and accurately.
•
May ensure close out and audit of client files and maintain terminated client filing system.
•
Create and deliver residential client files for Main office timely.
•
Manage and update client information in databases systems timely and accurately.
•
Schedule new hires to be fingerprinted within 30 days of hire, follow-up and ensure is completed. Submit results to HR.
•
Submit applicant background request information to CCIB and forward results to hiring manager and HR.
•
Schedule clients for photographing and fingerprinting twice a month (site dictated).
•
Track client terminations to coordinate new client intakes.
•
Verify client location and sentencing information using various databases.
•
May create and issue client IDs.
•
May upload MITTS in ETRAC, open timeline, and if applicable, flag VRA.
•
Enter client sentencing information and other client information into ETRAC.
•
Manage and update client information in the ETRAC and CCIB database systems timely.
•
Communicate intake information to staff and stakeholders.
•
Schedule and coordinate new resident intakes with the Department of Corrections and the County jail.
•
Coordinate information and prepare a variety of reports such as statistical, vendor, billing and/or client information timely and accurately.
•
Carry out all duties/responsibilities in accordance with Company values, policies and procedures, applicable laws and contractual obligations .

Maintain confidentiality of client and company information.
•

MINIMUM QUALIFICATIONS
EDUCATION and/or EXPERIENCE
•
Associate's degree (AA) or equivalent from accredited two-year college or technical school.
•
AND 2 years experience and/or training; OR equivalent combination of education and experience.
SKILLS
- Ability to enter data, generate reports and create communications from variety of software programs and databases including Microsoft Office suite
- Ability to operate multi-line telephone system
- Ability to communicate effectively both verbally and in writing
- Ability to remain calm in stressful situations
- Knowledge of the cultural and socioeconomic characteristics and appropriate techniques and practices for the client population.
- Ability to interact effectively as a team member and independently with Company staff, stakeholders, and with diverse client base.
- Must pass background check and have ability to access to state criminal databases
- Valid drivers license preferred
Title: Operations Support Specialist III
Starting Pay: $21.22/hr
Hours: M-F day shift
