Position summary
The Executive Assistant/Paralegal will act as an administrative liaison to support the company’s business activities and provide support to the leadership and management team. This position handles various administrative and legal functions and provides research assistance when needed.
Essential functions
Manages corporate contracts program, and reviews, revises, and drafts contracts, leases, charters, and general contracts, ensuring terms and conditions align with organizational policies and legal requirements.
Collaborates with internal teams and stakeholders, including finance, operations, and commercial, to ensure contract needs are met.
Develops and maintains contract and business document forms.
Manages and maintains critical trust files and other complex document files.
Manages ongoing fertilizer registration, reporting, and renewal requirements and maintains company licensing.
Manages and tracks corporate state tax incentive filings and related requirements.
Assists with maintaining and improving Ostara’s corporate structure (subsidiaries and branches.)
Assists in organizing, drafting, reviewing, and auditing company policies and procedures.
Manages legal holds on documents, subpoenas, and discovery responses.
Assists and prepares corporate annual and ongoing regulatory reports and licensing requirements in U.S., Canadian, foreign federal and local agencies.
Manages the company’s insurance coverages and facilitates premium expense savings; understands the principles of risk management and applies those principles to property and liability.
Reviews, tracks, and monitors legislation that impacts the company’s products and/or processes.
Updates leadership with timely analysis and summaries of new legislation/regulations affecting the business.
Provide support during financings and other company transaction activities.
