Working closely with neighboring referring veterinarians we provide specialty surgical and dental services. Our new facility has the latest diagnostic tools such as CT, digital radiology and in-house laboratory. We are paper light practice using digital records and treatment flow sheets.
Job description:
Our Client Care Representatives act as a liaison between the physicians and patients by working directly with the provider to deliver high-quality, compassionate customer service and clinical care.
Duties and Responsibilities
- Provide clear communication with Department teams, Clients and referring Veterinarians regarding patient care.
- Greeting patients professionally both in person and on the phone.
- Answer phone calls, text messages and emails promptly and relay messages when necessary.
- Notifying Departments of patient arrivals.
- Assisting clients filling out registration and authorization documents.
- Verifying financial records and collecting patient charges while filing and expediting third-party claims. As well as advising clients of alternative payment options.
- Optimizing Department schedules and patient satisfaction with efficient scheduling.
- Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders.
- Maintain records: Calling for referring hospital’s records. Sending our records to clients and referring hospitals.
- Set up new patients and update current patients’ information in the EMR system.
- Participate in department cross training to provide team atmosphere.
- Ensure the reception area is clean and well maintained.
- Attend mandatory department meetings.
Skills and Competencies
- Exceptional communication skills – strong and respectful written and verbal communication skills; able to clearly communicate with clients as well as team members.
- Organized with acute attention to detail.
- Ability to maintain confidentiality.
- Proficiency in time management.
- Interpersonal skills that enhance rapport with clients.
- Ability to type between 40 – 60 words per minute.
- Basic understanding of common medical terminology.
- Knowledgeable use of computer programs such as Word, Excel, Outlook, Gmail.
