KEY RESPONSIBILITIES
Front Desk & Communications
· Greet and welcome clients, vendors, and visitors in a warm and professional manner.
· Answer and direct incoming phone calls promptly and courteously.
· Monitor and respond to general office emails in a timely fashion, escalating matters as appropriate.
Meeting & Event Coordination
· Schedule and coordinate meetings with vendors, clients, and internal team members.
· Organize and facilitate vendor Lunch & Learns, including coordinating dates, sending invitations, arranging catering logistics, and preparing the meeting space.
· Coordinate sample library with updates.
· Maintain the office calendar to ensure accurate scheduling and avoid conflicts.
· Send meeting confirmations, reminders, and any necessary follow-up communications.
Bookkeeping Support
· Accurately enter vendor invoices into QuickBooks Desktop and/or QuickBooks Online.
· Verify invoice details for completeness and consistency prior to entry.
· Support SMP invoice process scanning/emailing invoices internally.
Office & Supply Management
· Monitor inventory levels and place orders for office supplies as needed.
· Receive, unpack, and put away supply deliveries in a timely manner.
· Keep supply areas stocked, organized, and tidy at all times.
· Ship packages with USPS/UPS or FedEx.
Pay: $15.00 - $20.00 per hour
