JOB Responsible for oversight and administration of the City Secretary's Office by providing effective and efficient service reporting to Assistant City Manager.

DUTIES

Provide support to the Mayor, City Council and City Manager’s Office.

Serve as the primary Public Information Officer; responsible for monitoring all open records requests and ensuring Citywide compliance with thorough and complete responses according to the Public Information Act.

Serve as Chief Election Official, coordinate all campaign reporting requirements, and oversee municipal general, special, and bond elections, with the Denton County Election Administrators; administer all aspects of the duties in accordance with Federal and State laws.

Compile, and organize information and materials for the City Council agenda packets; ensure completion of the City Council agenda(s) and prepare official minutes of the proceedings.

Oversee appointments to and membership records of all city boards and commissions; supervise application and appointment procedures.

Function as Records Management Officer; oversee record administration as outlined by the Texas State Library.

Collaborate with the City Attorney’s Office to supervise preparation of legal documents and execute required forms and notices.

Direct the official publication of notices and legal documents and respond to inquiries regarding municipal regulations, ordinances, resolutions, and other official actions.

Assist in the annual preparation of a Board and Commission handbook and associated guidelines.

Perform research work and prepares statistical and narrative reports; provide internal and external stakeholders status-of-office operations progress reports, as needed.

Assist public relations and prepares information programs.
SUPERVISORY/BUDGET RESPONSIBILITIES

Select, train, supervise, and evaluate staff; recommend assignment/assignment change, retention, discipline, and dismissal.

Develop, manage, and monitor budget; maintain accurate budget reporting; ensure that operations are cost-effective and funds are managed wisely.
