Overview
J. Harris Academy of Police Training is seeking a dynamic, highly organized, and tech-savvy Administrative Assistant to join our growing team.
We are looking for someone with excellent computer skills, strong attention to detail, the ability to analyze and organize information, and the confidence to work in a fast-paced, high-volume environment. This position requires someone who can manage multiple tasks, deadlines, communications, and projects at the same time while maintaining professionalism and accuracy.
The ideal candidate will be comfortable working with spreadsheets, client data, rosters, registrations, schedules, documents, emails, online systems, and internal tracking tools. This person must be able to identify missing information, organize data, follow up without being constantly reminded, and help keep operations moving.
Familiarity with law enforcement, public safety organizations, government agencies, police training, or similar professional environments is strongly preferred and may be required for the right fit.
Responsibilities
- Enter, organize, update, and maintain information related to students, courses, agencies, instructors, schedules, rosters, registrations, training materials, and internal records.
- Review and organize written materials, policies, procedures, course documents, and other training-related content for accuracy, consistency, and proper formatting.
- Assist with preparing and maintaining digital resources, student materials, course documents, review materials, and online learning content.
- Support the formatting, proofreading, editing, and organization of training materials, handouts, course files, and internal documents.
- Upload, organize, and manage course-related content within approved online platforms and internal systems.
- Assist with quality control by identifying missing information, formatting issues, duplicate entries, inconsistencies, and items requiring follow-up.
- Support online training administration, including course setup, student access, content organization, updates, and records management.
- Assist with class preparation, certificates, materials, rosters, communications, and follow-up tasks.
- Communicate professionally with staff, instructors, students, clients, vendors, and public safety organizations when needed.
- Support general office operations, conference preparation, marketing support, and other administrative projects as assigned.
Experience
- Administrative support or office operations
- Data entry and records management
- Document review, proofreading, formatting, or file organization
- Microsoft Word, Excel, Outlook, Google Drive, and shared digital folders
- Online learning platforms, training systems, or content management systems
- Experience with learning management systems, online course platforms, digital training platforms, or other web-based systems used to upload, organize, manage, and maintain course content, student access, training materials, quizzes, records, and certificates is preferred.
- Course administration, student records, registrations, rosters, or certificates
- Public safety, law enforcement, government agencies, police training, legal, education, or professional training environments
- Experience working around confidential, sensitive, or law enforcement-related information is a plus.
- The strongest candidate will be someone who is highly organized, comfortable working on a computer for most of the day, able to learn new systems quickly, and familiar with the professionalism expected when working with police departments, public safety agencies, instructors, and students.

Pay: $17.00 - $20.00 per hour
