The Community Development Administrative Coordinator provides comprehensive administrative and operational support to the department while serving as primary point of contact for residents and staff. This position is responsible for coordinating permit applications, maintaining impeccable records, and ensuring compliance with established policies and procedures. The position requires strong organizational, communication, and customer service skills, with the ability to manage multiple priorities, maintain confidentiality, and work collaboratively with Town staff, elected officials, contractors, and the public.
Key Responsibilities:
1. Administrative Support:
- Serve as first point of contact for the department, providing professional customer service to the public through phone inquiries and in-person visits.
- Schedule, organize, and support department meetings including logistics, agendas, minutes, and coordinating other details.
- Maintain organized records and files, ensuring compliance with town policies and regulations.
- Provide administrative support for code enforcement activities.
- Organize and execute department mailings.
- Manage and organize office operations and procedures.
2. Permit Coordination:
· Accept and assign permits to appropriate reviewer.
· Track permit status, assess fees and fines, and communicate with applicants.
· Follow up with reviewers to ensure reviews are completed in timely manner.
· Run and submit monthly and annual permits.
· Assist with scheduling inspections.
· Closeout permits.
· Train and troubleshot permit software for other department members and the public.
· Maintain SOP’s for permits and software.
3. Other Duties:
- Participate in community outreach and engagement activities as needed.
- Perform other administrative duties as assigned by the Assistant Town Manager.
Qualifications:
- Associate's or bachelor’s degree in public administration, Business Administration, Communications, or a related field.
- Prior experience in an administrative or clerical role, preferably within a government setting.
- Strong organizational and communication skills
- Proficiency in office software and tools (e.g., Microsoft 365, Canva, etc.).
Pay: $22.00 - $25.00 per hour
