The Accounting & Administrative Coordinator is responsible for supporting the day-to-day financial and administrative operations of the company. This position plays a critical role in accounting, payroll, human resources administration, compliance, customer service, and office operations to help ensure the organization runs efficiently and remains compliant with company and regulatory requirements.
Qualifications
· Bachelor's degree in Accounting preferred, or a minimum of three (3) years of accounting experience in the construction industry or a related field.
· Proficient in Microsoft Office, including Excel, Word, and Outlook.
· Experience with accounting software required (Foundation Construction Accounting Software added bonus).
· Strong organizational skills with the ability to manage multiple priorities and deadlines.
· High attention to detail and ability to maintain confidentiality.
· Excellent written and verbal communication skills.

Essential Duties and ResponsibilitiesAccounting & Payroll
· Process weekly payroll accurately and timely.
· Process accounts payable and accounts receivable transactions.
· Maintain accounting records and perform routine accounting functions.
· Process tax payments and filings, including payroll taxes, child support garnishments, unemployment, 401K plan contributions.
· Assist with month-end and year-end accounting procedures and reporting.
· Work closely with outside accountants and auditors as needed.
· Maintain vendor records, W-9s, insurance certificates and other required documentation.
Human Resources & Benefits Administration
· Maintain employee files and assist with onboarding and new hire paperwork.
· Coordinate employee benefits enrollment and administration.
· Assist with sourcing, renewing, and processing company insurance policies and employee benefit programs.
· Maintain required HR and compliance documentation.
· Support employee communications regarding payroll, benefits, and company policies.
· Assist with 401 K plan sourcing and administration.
Compliance & Safety Administration
· Assist with OSHA safety recordkeeping and required reporting.
· Maintain workers' compensation records and certificates of insurance.
· Track subcontractor compliance documentation, including W-9s, workers' compensation certificates, and insurance requirements.
· Assist with maintaining company compliance records and regulatory filings.
· Assist with administrative duties required for company insurance processes including workman’s compensation, vehicle, property etc.
Customer Service & Communication
· Serve as the first point of contact for customers, vendors, and visitors.
· Answer and direct incoming phone calls in a professional and courteous manner.
· Greet customers, vendors, and visitors at the office and provide exceptional customer service.
· Communicate effectively with customers, vendors, subcontractors, and employees via phone, email, and in person.
· Assist with customer inquiries and direct requests to the appropriate department or team member.
· Maintain positive relationships with vendors and customers through timely and professional communication.
Administrative & Office Management
· Order and maintain office supplies and administrative materials.
· Coordinate permits, licenses, and other administrative requirements as assigned.
· Provide administrative support to company leadership and operations staff.
· Assist with special projects and process improvements as needed.
· Maintain an organized and professional office environment.
Requirements
· Must successfully pass a post-offer credit check.
· Must successfully pass a criminal background check.
· Must be eligible for employment verification through E-Verify.
· Ability to maintain confidentiality and exercise sound judgment when handling sensitive financial and employee information.
