Parish Administrator / Digital Communications Coordinator
Reports To: Rector Employment Status: Part-Time 16 hours per week, Tu-Fri, 10 a.m. - 2 p.m., hours may vary
Salary: $16-$18
Position Summary
The Parish Administrator serves as the primary administrative support for All Saints Episcopal Church, ensuring the efficient operation of the church office while managing the parish's communications and digital presence. This individual is often the first point of contact for members, visitors, and the community and plays a vital role in creating a welcoming environment while communicating the mission and ministry of the parish.
The Parish Administrator supports the church's mission by helping communicate worship opportunities, outreach ministries (including Grace Place and other community ministries), fellowship events, stewardship campaigns, educational programs, and community engagement through print, digital, and social media communications.
Essential Responsibilities
Administrative Responsibilities
- Serve as the primary receptionist by welcoming visitors, answering telephones, and responding to emails in a timely and professional manner.
- Provide administrative support to the Rector, staff, Vestry, and ministry leaders.
- Create weekly worship bulletins, service leaflets, announcements, and other printed materials.
- Maintain the parish calendar, facility schedules, and room reservations.
- Process incoming and outgoing mail.
- Maintain parish records, membership database, and sacramental records in accordance with Episcopal Church requirements.
- Prepare correspondence, reports, and meeting materials.
- Order and maintain office supplies and equipment.
- Assist with annual meetings and preparing supporting documents.
- Coordinate facility uses requests and hall rental inquiries.
- Maintain organized and confidential parish files.
Communications & Digital Media Responsibilities
- Maintain and regularly update the church website with current worship information, events, ministry opportunities, and announcements.
- Create, schedule, and monitor content for the church's social media platforms.
- Design digital and print communications, including flyers, posters, brochures, graphics, and event promotions using Canva or similar software like Abode Illustrator.
- Prepare and distribute monthly electronic newsletters and other parish communications.
- Promote worship services, outreach ministries, fellowship opportunities, stewardship campaigns, educational offerings, and special events through the church's communication channels.
- Work collaboratively with the church - clergy, staff, Vestry, and ministry leaders etc. to ensure communications are timely, accurate, engaging, and consistent.
- Take or coordinate photographs of parish events for use in publications, newsletters, the website, and social media.
- Monitor and respond appropriately to online inquiries and messages.
- Maintain a welcoming, consistent, and mission-focused voice across all church communications.
- Assist ministry leaders with communication and promotional needs.
General Responsibilities
- Support the mission, vision, and values of All Saints Episcopal Church in all interactions.
- Maintain strict confidentiality regarding parish records, finances, personnel matters, and pastoral concerns.
- Foster a welcoming, respectful, and hospitable environment for parishioners, visitors, volunteers, and community members.
- Work collaboratively with the Rector, staff, Vestry, and ministry leaders.
- Assist ministry leaders in communicating opportunities for worship, service, outreach, education, stewardship, and fellowship to both the congregation and the wider community.
- Demonstrate flexibility and adaptability in meeting the changing needs of the parish.
- Perform other duties as assigned by the Rector that support the mission and ministry of All Saints Episcopal Church.
Qualifications
Required
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational, administrative, time-management skills and attention to detail.
- Friendly, welcoming, and professional demeanor.
- Ability to work independently and manage multiple priorities.
- Proficiency with Microsoft Office and Google Suites.
- Experience with website management (WordPress, Squarespace, or similar platforms).
- Experience using Canva or comparable graphic design software.
- Familiarity with social media platforms and email marketing.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred
- Experience working in a church, nonprofit, or ministry setting.
- Editing, proofreading and writing skills.
- Basic graphic design for websites and events.
- Basic photography and video editing skills.
- Experience using Adobe Illustrator.
Physical Requirements
- Ability to sit, stand, and use office equipment for extended periods.
- Ability to lift up to 25 pounds.
- Occasional evening or weekend work for special services, meetings, or parish events may be required.

Paid Time Off
- One week of paid vacation after six months
- 24 hours of paid sick leave annually
- Paid holidays only if they fall on the employee's regularly scheduled workday.
