Overview
We are seeking a dedicated Office Administrator to join our team. In this vital role, you will oversee daily administrative operations, ensuring smooth office functioning and supporting various departments. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive approach to managing office tasks efficiently.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace.
- Coordinate calendar management and schedule appointments for staff members.
- Handle clerical tasks such as filing, proofreading documents, and maintaining organized office files.
- Provide excellent customer support by addressing inquiries promptly via phone or email, demonstrating proper phone etiquette.
- Assist with bookkeeping tasks using QuickBooks, including basic data entry and financial record keeping.
- Support office management activities by overseeing supply inventory, processing invoices, and ensuring timely payments.
- Maintain a welcoming front desk environment, ensuring all visitors receive professional assistance.
- Collaborate with team members to improve office procedures and enhance overall productivity.
- Support personal assistant functions as needed, including travel arrangements or special project coordination.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong typing skills and attention to detail for proofreading and data entry accuracy.
- Knowledge of multi-line phone systems and phone etiquette standards.
- Experience in customer service and front desk operations.
- Technical proficiency in computer literacy, data management, and productivity software.
- Effective time management skills to handle multiple responsibilities efficiently.
- Previous experience in bookkeeping or basic financial tasks is advantageous.
