Pharmacy Operations Technician
Position Summary
This Full Time (40hrs/week) Pharmacy Operations Technician is a versatile member of the pharmacy operations team responsible for supporting multiple areas of pharmacy workflow, including prescription adjudication, order entry, medication filling, inventory management, and overall operational support. This role requires flexibility, attention to detail, and the ability to transition between departments to meet daily operational needs while maintaining accuracy, efficiency, and compliance with pharmacy policies and regulatory requirements.
The Pharmacy Operations Technician works collaboratively with pharmacists, technicians, billing/adjudication staff, nursing facility partners, and other pharmacy team members to ensure timely and accurate medication dispensing and exceptional service to patients and facilities.
Essential Duties and Responsibilities:
Prescription Processing & Order Entry
- Accurately enter new medication orders, refill requests, and prescription changes into the pharmacy dispensing system (FrameworkLTC).
- Review prescription information for completeness and accuracy prior to pharmacist verification.
- Process electronic prescriptions, faxed orders, facility requests, and refill requests.
- Identify missing information, discrepancies, or potential issues and escalate appropriately.
- Maintain accurate patient profiles, allergy information, demographics, and medication-related documentation.
Insurance Adjudication & Billing Support
- Process prescription claims through pharmacy billing systems and third-party payers.
- Perform insurance adjudication including resolving rejected claims, identifying rejection reasons, and pursuing appropriate resolution.
- Apply knowledge of common insurance issues including prior authorizations, quantity limits, refill-too-soon edits, non-covered medications, and billing overrides.
- Communicate billing issues requiring intervention to appropriate team members.
- Assist with maintaining accurate billing information and documentation.
Medication Filling & Production
- Accurately prepare medication orders for pharmacist verification and dispensing.
- Fill prescriptions using appropriate packaging methods including unit dose, blister cards, and vial fills.
- Operate pharmacy equipment and automation systems as assigned.
- Perform barcode scanning, label generation, packaging, and final production checks as required.
- Maintain productivity expectations while prioritizing accuracy and patient safety.
- Assist with cycle fills, stat orders, returns, and additional production needs.
Inventory Management & Pharmacy Operations
- Assist with medication inventory control including stocking, expiration checks, returns, and medication organization.
- Maintain clean, organized, and efficient work areas.
- Assist with receiving and putting away medication deliveries.
- Identify inventory shortages and communicate concerns appropriately.
- Support pharmacy workflow during high-volume periods.
Long-Term Care Pharmacy Support
- Support medication dispensing processes for skilled nursing facilities, assisted living facilities, group homes, and other healthcare partners.
- Assist with facility-specific requests, refill management, and cycle fill processes.
- Maintain awareness of facility delivery schedules and priority medication needs.
- Support timely medication availability to promote continuity of patient care.
Customer Service & Communication
- Provide professional and responsive support to internal and external customers.
- Communicate effectively with facility staff and pharmacy team members regarding prescription status, requests, and concerns.
- Escalate issues impacting patient care, delivery, or medication availability.
Compliance & Quality
- Follow all pharmacy policies, procedures, and regulatory requirements.
- Maintain patient confidentiality and comply with HIPAA requirements.
- Follow controlled substance handling procedures and applicable security requirements.
- Participate in quality improvement initiatives and workflow optimization efforts.
- Perform duties in a manner that promotes patient safety and service excellence.
Qualifications:
Required
- Pharmacy Technician registration as required by Pennsylvania regulations.
- Prior pharmacy technician experience required.
- Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
- Ability to multitask and prioritize competing responsibilities.
- Strong organizational and communication skills.
- Ability to work collaboratively as part of a team.
Preferred
- Experience working in a long-term care, closed-door, specialty, or mail-order pharmacy environment.
- Experience with FrameworkLTC, FrameworkECM, Sage 300, eMAR integrations, automation, and third-party billing.
- National Pharmacy Technician Certification (CPhT).
- Experience with prescription adjudication and insurance troubleshooting.
