We are a boutique, fast-moving privacy and technology law practice. Our Attorneys are juggling multiple client matters, thought-leadership projects, and firm-building initiatives. We need a self-directed professional who can own the firm’s operational heartbeat—keeping projects and attorneys on track while delivering a white-glove experience to existing and prospective clients.
What You’ll Do
Executive Support
- Manage calendars and proactively schedule/confirm client meetings.
- Monitor deadlines; politely—but persistently—nudge attorneys to finish tasks.
- Draft and proof client correspondence.
Project Management
- Track all active and legacy client work streams, ensure milestones are met.
- Extract notes from AI tools (e.g., Fireflies, Gemini) into the task-management system.
- Maintain organized digital client folders & knowledge repositories.
Client Development
- Follow up with current clients on next-phase projects (light sales/account-management mindset).
- Support prospect outreach and intake.
- Refresh website content and publish brief blog updates.
Operational Excellence
- Suggest and refine systems for greater efficiency.
- Leverage AI tools to draft, summarize, and automate routine tasks.
Requirements
- Demonstrated experience with task management/project management software such as Clio Manage, Asana, Trellor, or similar.
- Tech-savvy and quick to learn new software; comfortable experimenting with AI solutions.
- Razor-sharp attention to detail and polished written communication.
- Proven ability to “manage up” and keep senior professionals accountable.
- High level of professionalism in client-facing interactions.
- U.S. work authorization and ability to work across U.S. business hours.
