Job Title: Administrative Assistant
Job Summary:
We are seeking a detail-oriented and highly organized Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to communication, organization, and clerical duties.
Key Responsibilities:
- Perform general office duties, including answering phone calls, emails, and handling correspondence with customers.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain and organize office files, records, and documentation.
- Complete time and data entry, report generation, and maintain databases.
- Provide support in preparing safety presentations, trainings, reports, and memos.
- Handle office supply inventory and place orders as needed.
- Assist in processing invoices, past due invoices, expense reports, and other financial documents.
- Support various departments with administrative tasks as required.
- Organize & Maintain Contracts & Customer Records
- Assist Crewmen and Foreman with safety apparel and other items as needed
- Assist employees with work orders, route sheets and other documents as necessary
- Maintain confidentiality and professionalism in all communications.
- Run errands for Manager as needed
Qualifications & Skills:
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience as an Administrative Assistant, Office Assistant, or related role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Quickbooks) and other office management software.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and problem-solving skills.
Work Schedule:
- Full-time, Mon- Fri, 7am - 4pm
- Schedules subject to change, weekends may be required depending on location
Compensation:
- Competitive pay based on experience
- This is an Hourly position, payroll is bi-weekly (Fridays)
