Manufacturing Office Manager
Full-Time | Manufacturing Environment
Job Summary
We are seeking a highly organized and detail-oriented Manufacturing Office Manager to oversee administrative, HR, attendance, onboarding, reporting, and employee support functions within a manufacturing environment. This role is responsible for ensuring daily office operations run efficiently while supporting supervisors, employees, and corporate processes.
The ideal candidate will be dependable, professional, able to multitask in a fast-paced environment, and comfortable handling confidential employee information.
Essential Duties & ResponsibilitiesAdministrative & Office Management
- Oversee daily office operations and administrative processes
- Maintain accurate employee files and documentation
- Manage office supply orders and first aid inventory
- Ensure all required reports, spreadsheets, and tracking systems are updated accurately and on time
- Support management and supervisors with operational reporting and employee documentation
Attendance & Timekeeping
- Review and manage daily attendance exceptions
- Ensure temporary employee timecards are accurate and completed daily
- Track attendance notes, excuses, and related documentation
- Communicate missing information and follow up with supervisors as needed
Hiring & Onboarding
- Review applications and coordinate interviews
- Complete and process new hire paperwork
- Prepare employees for orientation and onboarding
- Create employee ID badges and set up timeclock access
- Track applicants through onboarding and up to the 90-day employment period
Employee Relations & HR Support
- Conduct exit interviews for terminated employees
- Process vacation requests, status changes, and separation notices
- Maintain employee rosters and training spreadsheets
- Support employee reviews and performance documentation
- Assist with garnishments, child support orders, unemployment claims, and insurance documentation
Compliance & Reporting
- Process accident reports and submit required documentation to corporate
- Maintain compliance with company policies and procedures
- Support insurance enrollment, biometric screenings, and employee benefit tracking
- Ensure all employment documentation is properly scanned, filed, and submitted
Communication & Coordination
- Coordinate with supervisors, payroll, HR, and corporate offices
- Provide updates regarding temporary employees, onboarding status, and staffing changes
- Support employee engagement activities and wellness programs
Qualifications
- Previous office management or HR experience in a manufacturing environment preferred
- Strong organizational and multitasking skills
- Excellent computer skills, including Microsoft Excel and Microsoft Office
- Ability to maintain confidentiality and professionalism
- Strong communication and follow-up skills
- Ability to work independently and manage multiple deadlines
Preferred Qualifications
- Experience with attendance tracking systems and onboarding software
- Knowledge of payroll, benefits, and HR processes
- Manufacturing or industrial office experience preferred
