Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
- Answer inquiries via phone, email, or in person, providing accurate information or directing calls appropriately
- Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Handle clerical duties including typing correspondence, managing incoming and outgoing mail, and filing documents
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and QuickBooks for bookkeeping and record keeping
Qualifications
- Proven office experience with strong clerical and administrative skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software such as QuickBooks
- Strong customer service orientation with professional phone etiquette and interpersonal skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with front desk operations in medical or dental settings is a plus but not required
- Personal assistant or medical receptionist experience is beneficial for understanding calendar management and patient interaction requirements
