Job Summary
Plana is seeking an experienced, best-in-industry Operations Manager to own and scale our pilot-phase operations. The Operations Manager will provide competent, informed consent counseling to clients, ensure that all pregnancy options—including adoption—are clearly indicated before enrollment, and uphold the highest standards of ethical and clinical communication. This leader will personally execute and refine the Care Coordinator function before hiring and training additional Care Coordinators.
In addition to direct client work, this role will own the Quality Assurance (QA) program for operations, serve as the subject matter expert (SME) for Plana’s web and mobile app, and rigorously test all user stories and workflows from the perspective of the Operations Manager, Care Coordinator, and client. This position bridges frontline care and product development to ensure operational excellence and scalable systems.

Key Responsibilities
1. Operations Ownership & Direct Service
- Personally execute the Care Coordinator role during the pilot phase.
- Provide competent, informed consent counseling on all pregnancy options.
- Serve as the operational owner of the care coordination workflow and escalation pathways.
- Develop and document scalable processes and systems for future team growth.
- Be the organization’s SME, tester, and advocate of all things related to Plana’s web and mobile apps
2. Quality Assurance & Compliance
- Manage and improve the operational QA program.
- Own quality metrics aligned with operational standards and Plana’s brand promise.
- Conduct audits of counseling sessions, documentation, and workflow adherence.
- Implement structured feedback loops for continuous improvement.
3. Product & Platform Subject Matter Expertise
- Serve as SME for Plana’s web and mobile app functionality.
- Test all user stories and features from three perspectives: Operations Manager, Care Coordinator, and Client.
- Identify workflow friction, technical gaps, and risk exposure.
- Provide structured, actionable feedback to product and engineering teams.
4. Team Building & Training
- After validating and refining operations, recruit and hire one or more Care Coordinators.
- Develop onboarding and training curriculum aligned with operational standards.
- Provide coaching, performance management, and professional development.
- Establish clear performance metrics and accountability structures.
5. Strategic & Cross-Functional Leadership
- Translate frontline insights into scalable operational strategy.
- Collaborate with product, engineering, marketing, and leadership teams.
- Provide operational reporting and insights to executive leadership.
- Contribute to long-term operational and platform strategy.
Qualifications
- Any of the following (or equivalent) licenses or certifications from any state: LSW, LMFT, LCPC, LCSW
- Experience in maternal health, adoption services, or pregnancy resource support.
- Operational leadership experience in healthcare, nonprofit, or mission-driven environments.
- Strong communication skills and high emotional intelligence.
- Analytical mindset with comfort reviewing data and QA metrics.

Pay: $56,000.00 - $78,000.00 per year
