CCCS is a growing Value-Added Reseller that provides IT hardware, software, cloud solutions, manufacturing parts, and electronic components to business, government, and education customers.
We work with leading technology vendors and distributors to help customers receive accurate pricing, product information, and procurement support. Our team handles vendor research, RFQ responses, quote preparation, buyer communication, and order coordination.
This is an in-office position. Several core responsibilities, including receiving physical shipments, inspecting and repackaging products, and coordinating same-day local deliveries require the employee to be physically present at our office location and able to perform light physical tasks such as lifting materials or packages up to 30 pounds. This role is not eligible for remote or hybrid work.
Position Summary
CCCS is seeking a detail-focused Quote and Procurement Specialist to support our quoting, procurement, and in-office logistics processes.
This role is not a traditional sales position. The primary focus is researching products, working with vendors and distributors, preparing accurate quotes, responding to customer RFQs, and helping ensure approved orders including physical goods are received, inspected, documented, and delivered correctly.
The ideal candidate is organized, accurate, professional, and comfortable working in a deadline-driven office environment that includes both desk-based quoting work and hands-on package handling. This person should enjoy research, communication, documentation, light physical inspection tasks, and working with technology products and vendors.
Key Responsibilities
Quoting & Procurement
- Research products, pricing, availability, part numbers, specifications, and vendor options.
- Communicate with vendors, distributors, and customers to gather the information needed for accurate quotes.
- Prepare quotes in response to customer RFQs, bid requests, and procurement needs.
- Review quote details for accuracy, including pricing, product descriptions, quantities, lead times, and vendor requirements.
- Follow up with vendors and distributors on open pricing requests and pending responses.
- Update quotes when pricing, availability, customer needs, or vendor information changes.
- Assist with customer communication related to quotes, product information, and procurement status.
- Maintain internal quote records, vendor contacts, pricing information, and supporting documentation.
- Help coordinate approved quotes with procurement, finance, and internal team members.
- Assist with vendor registration, partner programs, certifications, and vendor account requirements.
- Support research related to IT hardware, software, licensing, cloud solutions, parts, and electronic components.
- Manage multiple quote requests at the same time while meeting deadlines.
In-Office Logistics & Compliance Documentation
- Answer and forward incoming phone calls to the appropriate team member in a professional and timely manner.
- Receive incoming deliveries and packages at the office, including shipments requiring Certificates of Conformance (CoC) or other compliance/quality documentation for certain customer requirements.
- Inspect received products for accuracy, condition, and completeness against order and packing documentation.
- Repackage products as needed to meet customer or contractual packaging requirements.
- Create new CoC documentation or include/attach additional CoC and compliance paperwork as required by the order.
- Prepare and apply correct shipping labels and arrange outbound deliveries.
- Coordinate and, when necessary, personally handle local deliveries using a personal vehicle (mileage reimbursed at the current company/IRS rate).
- Maintain accurate records of received and shipped items, including compliance documentation, for audit and traceability purposes.
Required Qualifications
- Two or more years of experience in quoting, procurement, vendor coordination, sales support, purchasing, shipping/receiving, or a related office role.
- Strong attention to detail and accuracy, particularly with compliance documentation and physical product inspection.
- Good written and verbal communication skills, including professional phone etiquette.
- Ability to communicate professionally with vendors, distributors, customers, and internal team members.
- Comfortable using Microsoft Outlook, Word, and Excel.
- Ability to manage multiple requests and deadlines at the same time, including switching between desk work and hands-on tasks.
- Strong organizational skills and good follow-up habits.
- Willingness to learn about technology products, vendor processes, and procurement requirements.
- Valid driver's license and reliable personal vehicle for occasional local deliveries.
- Ability to lift and carry up to 30 pounds and to stand, bend, or move around the office/warehouse area as needed to receive, inspect, and repackage shipments.
- Ability to reliably work on-site at the office; this role is not remote-eligible.
Preferred Qualifications
- Experience working for a Value-Added Reseller, MSP, technology reseller, distributor, or procurement office.
- Familiarity with vendors such as Dell, HPE, HP Inc., Microsoft, Red Hat, Cisco, Lenovo, or similar technology companies.
- Experience working with distributors such as Ingram Micro, TD Synnex, D&H, Carahsoft, Pax8, or similar distributors.
- Experience preparing quotes, RFQ responses, or sales proposals.
- Familiarity with government, education, defense, or enterprise purchasing processes.
- Familiarity with Certificates of Conformance (CoC), quality documentation, or shipping/receiving compliance requirements.
- Basic understanding of IT hardware, software licensing, servers, networking, cloud products, or electronic components.
- Experience with QuoteWerks, Salesforce, Autotask, ConnectWise, QuickBooks, or similar systems is helpful.
