POSITION OVERVIEW
We are seeking a dependable professional to handle daily administration, workforce onboarding, and contract compliance. The ideal candidate is self-motivated, coachable, and possesses strong attention to detail to support our project managers and accounting workflows.
KEY RESPONSIBILITIES
General Administration
- Manage daily office workflows: copying, scanning, mailing, and maintaining organized digital and hard-copy files.
- Handle incoming and outgoing phone calls with a professional, courteous demeanor.
- Manage vendor accounts and assist with Accounts Payable (AP) tasks.
Workforce Administration
- Lead the in-processing and onboarding of new hires.
- Maintain accurate, confidential employee documents and personnel files.
- Serve as a helpful point of contact for employee questions and administrative needs.
Contract & Project Administration
- Provide administrative support to Project Managers.
- Manage and track all contract compliance-related submittals.
- Assist with billing, invoicing, and accounts payable processes.
QUALIFICATIONS & SKILLS
- Experience: 2+ years of experience in Construction Administration or Construction Accounting is highly preferred.
- Technical Proficiency: Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and Windows. Experience with Trimble Viewpoint Spectrum and QuickBooks is a major plus.
- Communication: Exceptional written and verbal communication skills; ability to write professionally using proper grammar.
- Attributes: Distinctly self-motivated, coachable, and capable of multi-tasking effectively in a fast-paced, high-pressure environment.
- Dependability: Reliable and committed to a consistent, full-time in-office schedule.
