About Stage X Studio
Stage X Studio is a performance and artist development studio offering dance classes, training programs, and creative opportunities for developing artists. We are seeking a highly organized, detail-oriented, and proactive Sales & Studio Operations Coordinator to help manage the financial and operational systems that keep our business running smoothly.
Position Overview
The Sales & Studio Operations Coordinator will primarily support the studio's financial administration, payment tracking, expense management, bookings, and daily operations. It will be 60% Operations and 40% Sales.
The ideal candidate is quick, accurate, highly organized, and comfortable managing multiple responsibilities at once. This person should be confident working with numbers, spreadsheets, financial records, and administrative systems.
Key Responsibilities - Sales Operations & Administration & Accounting Support
- Explore Business Sales Development and Partnerships
- Encouraging enrollment, and consultations -- lead management, tracking sales number, etc.
- Track and organize payments and booking across classes, training programs, and other studio services
- Monitor outstanding balances and follow up on unpaid or overdue payments
- Maintain accurate records of revenue, payments, invoices, and expenses
- Track operational expenses and ensure payments are properly documented
- Assist with organizing payroll information and payment records
- Identify missing payments or discrepancies and follow up promptly
- Maintain organized spreadsheets and financial tracking systems
- Support financial reporting and revenue tracking as needed
- Bookings, Rentals & Scheduling
- Manage and track studio bookings, including classes, programs, rehearsals, rentals, and events
- Maintain accurate calendars and booking records
- Track booking payments and ensure required agreements or information are completed
- Respond to and coordinate rental inquiries and logistics
- Monitor studio availability and help prevent scheduling conflicts
Studio Operations
- Support the day-to-day operational needs of the studio
- Ensure studios are prepared for classes, programs, rentals, and events
- Monitor supplies, equipment, and general facility needs
- Coordinate maintenance, repairs, vendors, and other operational needs
- Maintain organized systems, documents, and records
- Identify operational issues and help resolve them quickly
Administrative & Social Media Support
- Provide general administrative support as needed
- Assist with coordinating social media schedules, announcements, and content
- Support additional operational and business projects as assigned
Qualifications
- Previous experience in sales and business development is required.
- Pass experience with KPIs, IPC, etc.
- Strong organizational skills and attention to detail
- Comfortable working with numbers, payments, expenses, and spreadsheets
- Proficient in Google Workspace, especially Google Sheets, Docs, Drive, Gmail, and Calendar
- Familiar with Canva and CapCut
- Quick and comfortable learning new software, platforms, and systems
- Strong communication, follow-up, and problem-solving skills
- Able to manage multiple priorities in a fast-paced environment
What We’re Looking For
- Open availability is required. Shift begins from 3:00 PM - 10:00. And are able to work weekends.
- Candidates with experience in sales and managing financial administration, bookkeeping or accounting support, payment tracking, bookings, scheduling, or business operations.
- Friendly, confident, and comfortable talking with people in person, over email, and on the phone. Adaptability to fast pace environment is key.
- Strong communication skills with the ability to respond professionally and warmly to parents, students, and clients
- Someone who is proactive, dependable, and not afraid to jump into phone calls or handle inquiries directly
- Able to multitask and stay organized in a fast-paced studio environment
- Positive attitude, strong work ethic, and great personality are extremely important for this role
- Comfortable working as part of a team and helping wherever needed
- Previous front desk, customer service, administrative, or studio experience required
- Canva experience preferred (Graphic Design is a plus)
- Reliable transportation in preferred.
- Filming experience is a plus.
Preferred: Experience with bookkeeping, accounting support, financial administration, bookings, scheduling, rentals, or studio/business operations. Some form of education is required.
Operations:
3:00 PM - 10:00 PM [Monday - Sunday] / Events may start earlier.
Open availability preferred needed for certain events.

A love or genuine interest in dance, performance, entertainment, music, or the performing arts is a major plus. You don't need to be a dancer, but we'd love someone who enjoys being part of the creative world.
Most importantly, we're looking for someone who is reliable, detail-oriented, confident, adaptable, and excited to help Stage X Studio grow.
Compensation
Pay: $17 + commissions
Compensation will be based on experience, qualifications, and the scope of responsibilities.
