Position Summary
Charter Mechanical is seeking a motivated and detail-oriented Accounting Support 1 to join our accounting team. This position is mainly responsible for receptionist duties, clerical admin responsibilities, sorting and distributing mail, processing accounts payable invoices and other data-entry accounting functions by performing the following duties.
Essential Duties
1. Processes accounts payable invoices daily. Matches invoices to purchase orders and applies as appropriate, investigates discrepancies, assists with dispute resolution, communicates issues to supervisor and/or buyers in the field.
2. Reconciles Vendor Statements, makes phone calls as needed to vendors and project teams to resolve outstanding invoices.
3. Cross trains other departmental employees’ responsibilities to provide support when needed
Job Duties
· Processes accounts payable invoices.
· Reconciles Vendor statements and works with the vendors on missing invoices.
· Research customer discrepancies and past-due amounts with the assistance of other accounting staff.
· Maintains excellent relations with internal customers.
· Documents procedures for all tasks and invoices that require specific processes.
· Performs special projects as directed by their supervisor, i.e., scanning files, assisting with office file organization.
· Looks for areas of improvement in their responsibilities, including invoice processing efficiencies.
· Maintains punctual, regular, and predictable attendance.
· Works collaboratively in a team environment with a spirit of cooperation.
· Displays excellent communication skills including presentation, persuasion and negotiation skills required in working with customers, including the ability to communicate effectively and remain calm and courteous under pressure.
· Respectfully takes direction from supervisor.
· Other duties as assigned.

Education & Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Computer Skills
Has advanced basic computer job skills including logging on to systems, ability to communicate by email, ability to compose documents, enter database information, create presentations, download forms, and preserve/backup important data.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
