Reservationist/Office Administrator
The Office Administrator/Reservationist serves as the first point of contact for guests and members, ensuring a welcoming and professional atmosphere. This role is responsible for managing front-desk duties, answering phones, handling reservations, and assisting with event logistics. The position requires excellent organizational skills, attention to detail, and the ability to provide exceptional service to both guests and staff.
Additionally, it is essential to be proficient in navigating and managing various websites and online platforms used by the organization. This includes familiarity with reservation systems, time management tools, email marketing platforms, and any other web-based resources necessary for smooth office and event operations.
Success in this position depends on a friendly demeanor, proactive communication, and the capacity to multitask in a dynamic environment.
DUTIES & RESPONSIBILITIS:
Answer Office/Reservations phones.- Manage reservation questions from members-make, change, cancel or assist them with making their own reservations in the system.
- Set up New Member training and all extra member training by securing a captain and boat for the member’s chosen training date and listing in Google calendar.
- Manage Boating Sister’s training by scheduling Captain and boat, reminders in FB Group page and confirming with members 2 days prior
- Onboarding new Members and employees - (enter I-9 information in government site)
- Help in maintaining supplies for all events making sure vendor cart is complete with all items needed – flyers, prospect booklets, pens, raffle sheets, etc.
- Set up new members in Constant Contact email, create new member card
- Work closely with Marketing Director and Membership Executive to Manage daily Social Media posts and responses.
- Assist Director of Operations with Salesforce entries, changes, update.
- Track daily fuel usage in Microsoft Sheets
- Assist members with managing payment options
- Any additional duties needed to maintain an efficiently run office.
