Job Summary
The Clinic Assistant Manager supports the Clinic Manager and Chief Veterinary Officer (CVO) in the day-to-day operations of the Donor-subsidized Veterinary Clinic. This role ensures smooth administrative and operational workflow, supports staff and volunteer coordination, and helps maintain a clinic culture centered on compassionate, efficient, and high-quality patient care.
Responsibilities
- Assist with daily operations of the clinic, including Reception & Technician Teams.
- Support training and onboarding of receptionists and technical support staff as directed by the Clinic Manager.
- Help monitor accounts receivable inquiries, cash handling, and perform basic invoice audits.
- Support client communications, follow-ups, and resolve routine client inquiries; escalate as needed.
- Assist with scheduling staff, volunteers, and special surgeries to ensure a balanced clinic workload.
- Maintain organized clinic records and assist staff in proper documentation, including controlled substances and diagnostic records.
- Help coordinate volunteer schedules with the Volunteer Manager to ensure adequate coverage.
- Provide administrative support for the development, documentation, and review of clinic protocols and SOPs.
- Assist with supply and inventory management, ordering, and tracking clinic materials and equipment.
- Provide support in maintaining regulatory compliance (DEA, NMBOVM, OSHA, etc.) as directed.
- Serve as a liaison for internal communications, helping share updates, reminders, and training opportunities with clinic staff.
- Perform other duties as assigned by the Clinic Manager or CVO.
Supervisory Responsibilities
- Directly supervise Customer Service Representatives/Receptionists in the clinic and may assist in coordinating tasks among technicians and volunteers as directed by Clinic Manager.
Job Conditions
- Duties are performed in a veterinary clinic and office setting.
- Exposure to animals, including aggressive or frightened patients, controlled substances, odors, noise, bites, scratches, animal waste, and contagious diseases may occur.

Interacts with clinic staff, volunteers, clients, other departments, and in-house veterinarians.
Job Requirements
- 1–3 years of experience in veterinary clinic administration, office management, or related fields.
- Basic knowledge of animal behavior, handling, and safety procedures.
- Strong customer service, organizational, and communication skills.
- Experience with scheduling, recordkeeping, and administrative tasks.
- Proficiency with Microsoft Office (Word, Excel, Outlook); experience with practice management or shelter software preferred.
- Ability to lift up to 35 pounds unassisted; 50+ pounds with assistance.
- Ability to work effectively in a team environment, with minimal supervision when needed.
Education
- Associate’s or Bachelor’s degree in business, animal science, or related field preferred.
- Veterinary technician certification or experience a plus.
