JOB SUMMARY
The Operations Assistant/Driver plays an essential role in ensuring the smooth daily operation of the Malverne After School Center's early care program. This position is responsible for safely transporting children to school while providing operational, logistical, and classroom support that helps create a safe, organized, and welcoming environment for children, families, and staff.
Working collaboratively with the Executive Director, UPK Program Manager, and teaching staff, the Operations Assistant/Driver supports the day-to-day operations of the program by assisting with transportation, facility readiness, classroom coverage, inventory management, and other operational functions.
KEY RESPONSIBILITIES
Transportation
- Safely transport children to local schools using agency vehicles, ensuring safe arrival and departure procedures.
- Conduct pre-trip and post-trip vehicle inspections and complete required documentation.
- Maintain accurate transportation attendance logs and vehicle mileage records.
- Follow all OCFS transportation regulations, organizational policies, and New York State traffic laws.
- Immediately report accidents, incidents, maintenance concerns, or safety issues.
Operations Support
- Open program sites and assist with morning operational readiness beginning at 6:30 a.m.
- Provide classroom coverage during staff breaks, meetings, or emergencies while maintaining required staff-to-child ratios.
- Maintain inventory and organize storage areas and supply rooms.
- Receive deliveries and distribute materials to classrooms and offices.
- Assist with minor facility maintenance and report repair needs.
- Ensure agency vehicles remain clean, fueled, and ready for daily use.
- Assist with seasonal operational needs, including snow removal, salting walkways, and outdoor safety.
- Support emergency drills and emergency preparedness activities.
- Perform additional operational duties as assigned by program leadership.
QUALIFICATIONS & REQUIREMENTSEducation
- High School Diploma or High School Equivalency (HSE/GED) required.
Experience
- Minimum of one (1) year of experience driving passengers, providing transportation services
- Experience working with children in an educational, childcare, camp, recreation, or youth-serving environment preferred.
- Experience operating passenger vans or similar vehicles preferred.
Licenses & Certifications
- Must be at least 18 years of age.
- Valid New York State Driver License appropriate for the class of vehicle being operated, in accordance with OCFS and New York State Department of Motor Vehicles (DMV) requirements.
- Must maintain an acceptable Motor Vehicle Record (MVR) that meets the organization's automobile insurance carrier requirements throughout employment.
- Commercial Driver License (CDL) with Passenger Endorsement preferred, but not required.
Knowledge, Skills & Abilities
- Demonstrates professionalism, reliability, and excellent customer service when interacting with children, families, school personnel, and community partners.
- Ability to safely transport and supervise children during arrival, dismissal, field trips, and other program activities.
- Knowledge of child safety practices, emergency response procedures, and defensive driving techniques.
- Strong organizational, communication, and time-management skills.
- Ability to work independently and collaboratively with staff, families, school district personnel, and community partners.
- Ability to maintain accurate transportation logs, inventory records, and operational documentation.
- Basic computer proficiency, including email, Microsoft Office, Google Workspace, and web-based applications.
- Ability to assist with classroom coverage, event setup, deliveries, inventory management, and general operational support.
- Bilingual English/Spanish preferred.
CONTINGENT EMPLOYMENT REQUIREMENTS
Employment is contingent upon:
- Clearance through the New York State Office of Children and Family Services (OCFS), including Criminal History Review, New York State Central Register (SCR) clearance, and Sex Offender Registry clearance.
- Verification of a valid New York State Driver License appropriate for the vehicle being operated.
- Successful review of the candidate's Motor Vehicle Record (MVR) and continued eligibility under the organization's automobile insurance policy.
- Medical clearance, including a physical examination, TB screening, and any required immunizations in accordance with OCFS regulations.
- Completion of Mandated Reporter Training within two weeks of hire.
- Completion of CPR and First Aid Certification within three months of hire.
- Completion of all required OCFS training and annual professional development requirements.
- Successful employment and reference verification.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS
This position requires standing, walking, bending, kneeling, climbing stairs, lifting, carrying, pushing, and pulling throughout the workday. The Operations Assistant/Driver must be able to lift up to 50 pounds and work both indoors and outdoors in varying weather conditions. The position requires operating agency vehicles, transporting and supervising children safely, assisting with classroom and operational support, and performing light facility and logistical duties in a moderately active environment.
