Job Summary
We are seeking a dynamic and detail-oriented Service Administrator to join our team and drive excellence in our fleet service operations. This Administrator role supports the main office shop by tracking and reporting operational metrics as well as maintaining telematics and preventive maintenance (PM) reporting. As this is a new role, the opportunity for future growth is available.
Duties
- Assist in scheduling shop assignments, field service work and delivery of equipment
- Establish or adjust work procedures to meet schedules and deadlines
- Coordinate parts and labor requirements with Service Manager for work orders
- Conduct opening and closing of work orders
- Communicate progress of repair/service orders
- Maintain accurate and timely shop metric reporting
- Ensure telematic information is distributed properly and escalated as appropriate
- Monitor preventative maintenance (PM) activities for adherence to the company’s prescribed schedule
- Assist in the appraisal and quote process for equipment repair
- Provide clerical assistance, including correspondence and data entry
- All other duties as assigned
Requirements
- Proven experience in administration within a service or technical environment
- Strong proficiency in Excel data analysis for reporting and decision-making purposes
- Proficiency with spreadsheets, telematics, and maintenance/purchasing systems
- Proficient computer skills, including experience with Excel, preferred
- Excellent customer service/communication skills required
- Attention to detail and accuracy in reporting, invoicing, and time entry
