Position Overview
The position is for an office manager, not a regular office employee. We're looking for someone who will take initiative and ownership of things, be a problem solver and figure out the best way to handle issues, and take action. Also essential is the ability to delegate to others, and follow-up to verify it's completed.
Key Responsibilities
- Provide direct support to company owner, including email management
- Calls/texts/emails with leads, customers, subs, vendors
- Coordinate scheduling for project dates, site visits, price quotes, and inspections
- Conduct basic research as needed for projects and business operations
- Complete forms and applications
- Schedule vendors for projects, such as concrete material and pump
- Enter bills and expenses into company software
- Generate and send invoices to clients, and payment reminders
- Pay company bills and manage accounts payable
- Track projects and tasks, ensuring proper follow-up
- Lead and delegate to other staff as our office team grows
- General problem-solving and office management duties
- Coordinate with foreman to ensure project runs smoothly
- Other construction office administration as needed
Required Qualifications
- Reliable transportation for commute and occasional needs (e.g. pick up plans)
- Smartphone with data plan to use company applications
- Ability to lift up to 25 pounds occasionally
- Fluent English (reading, writing, and typing)
- Proficient in basic office software such as Microsoft Office Suite & Google Workspace
- Strong communication skills over phone, email, text
- Attention to detail and verifying your own work
Nice-to-Have Qualifications
- Spanish speaking
- Previous experience in construction or a related field
- Previous experience in an Executive Assistant role or similar
- Familiarity with Quickbooks or other accounting software
