Job Summary
We are seeking a detail-oriented and organized professional to assist with daily office operations. The ideal candidate will provide support for order entry and invoicing and will assist the Administrative and Accounting Manager with general administrative tasks.
Schedule, Compensation, and Work Environment
This is currently a part-time position (approximately 20 hours per week), and, as such, is not eligible for most benefits. There is future potential for the role to evolve into a full-time position with career development opportunities.
Pay range: $23-$25/hour starting wage, based on experience.
This position is office-based and in-person, located in Sumas, WA. There is some exposure to manufacturing conditions while on the property.
Primary Job Responsibilities
- Support order entry and ensure accuracy of information: Assist with entering customer orders and reviewing for completeness and accuracy. Coordinate with the team to resolve discrepancies and ensure timely processing.
- Assist with the invoice and billing processes: Prepare, verify, and process customer invoices, helping to ensure they are issued accurately and in a timely manner.
- Provide administrative support to the Administrative and Accounting Manager: Assist with daily office tasks such as document preparation and organization, retrieving mail, office supply ordering, and general clerical support to maintain efficient operations.
- Maintain organized records and documentation: Manage physical and electronic filing systems to ensure records are accurate, up to date, and easily retrievable.
- Communicate with various company departments: Facilitate clear communication between departments to ensure accurate information flow related to orders, billing, and documentation.
- Assist with AP/AR projects: Support the current transition to a paperless AP/AR system and refine and maintain system processes moving forward.
- Communicate with customers, as needed: Respond professionally to customer inquiries regarding orders, invoices, and account information, using critical thinking to solve issues, and using judgement to escalate issues when appropriate.
