Position Summary:
We are seeking a highly organized and professional Front Desk Coordinator to join our team. This role is essential to delivering a seamless patient experience at the front desk, including call handling, appointment scheduling, insurance coordination, and patient communications.
Key Responsibilities:1. Call Management
- Answer incoming calls in a courteous and professional manner.
- Direct calls to the appropriate team members or departments.
- Address patient inquiries regarding services, office hours, and procedures.
2. Appointment Scheduling
- Confirm upcoming appointments via phone and/or text.
- Schedule and reschedule patient appointments with accuracy and attention to calendar management.
- Book new patient appointments and collect all necessary insurance information.
3. Insurance & Payment Processing
- Utilize digital tools to verify insurance coverage and copayments.
- Accurately collect and document insurance information during appointment booking.
- Process patient payments over the phone for copays and outstanding balances.
4. Patient/Client Communication
- Provide clear, empathetic communication to patients regarding appointments, insurance, and preparation requirements.
- Follow up on missed or rescheduled appointments to support continuity of care.
- Route calls appropriately to ensure patient needs are met promptly.
5. Administrative Support
- Perform data entry tasks to maintain up-to-date patient records.
- Manage and track the completion of online forms.
- Accurately log appointment details and communications within the system.
6. Document Management
- Prepare and send documents, including letters and prior authorization forms.
- Maintain organized and secure electronic files in compliance with company policies.
7. Technology Use
- Efficiently operate scheduling software, EHR systems, and video conferencing platforms (e.g., Tebra).
8. Professionalism & Confidentiality
- Maintain patient confidentiality and adhere strictly to HIPAA and company policies.
Qualifications:
- High school diploma or equivalent (administrative)
- Proven experience in a receptionist or customer service role, preferably healthcare setting.
- Excellent written and verbal communication skills.
- Strong multitasking and time management abilities.
- Proficiency in office software, scheduling tools (e.g., Tebra), and EHR systems.
- Commitment to a Monday–Friday work schedule (Up to 40 hours weekly) PT
Pay: $16.00 - $20.00 per hour
