About the Role
We are looking for a sharp, self-directed Bookkeeper & Office Coordinator to support the financial recordkeeping and day-to-day operations of our corporate office and operating companies. This is a part-time, in-office role — Tuesday through Thursday, guaranteed at 20 hours per week — that plays an important behind-the-scenes function: keeping our books accurate, our vendors paid on time, and accounts reconciled.
The right person listens carefully, learns actively, and takes ownership once they’re oriented. You document what you need for yourself, ask good questions up front, and then run with it. You bring a calm, professional presence to a small team, and you’re willing to stretch when the work calls for it — which it will.
What You’ll Do
Bookkeeping & Finance

Process accounts payable — review, code, and pay vendor invoices accurately and on time.

Process bi-weekly payroll for the corporate office (currently a small team) using our payroll platform; over time, learn the mechanics of payroll for our operating companies so you can serve as a backup resource when needed.

Record daily financial transactions, including receipts and payments, in QuickBooks.

Make bank deposits and post cash receipts.

Issue invoices to customers and follow up on outstanding receivables as needed.

Perform monthly bank reconciliations across all accounts.

Maintain an organized, up-to-date accounting filing system and chart of accounts.

Maintain supporting schedules and assist with month-end close as directed.

Audit vendor bills and invoices for accuracy; identify discrepancies and pursue resolution.

Research and resolve tax notices and correspondence with agencies or appropriate internal contacts.
Extended Support (When Core Work Allows)
Part of what makes this role work is flexibility. When your bookkeeping responsibilities are caught up, you’ll be asked to help with things leadership hasn’t had bandwidth to get to — auditing benefit enrollments, working through a process that needs and supporting light office coordination (ordering supplies, the occasional team event, keeping things running).
Schedule & Commitment
This role is guaranteed at 20 hours per week, Tuesday through Thursday, in our Burr Ridge office. We are committed to providing consistent, predictable work. What we ask in return is reliability, engagement, and full ownership of your responsibilities.

Skills & Experience

Proven bookkeeping experience; prior exposure to a multi-entity environment is a plus.

Fluent in QuickBooks (required).

Deep familiarity with the full AP/AR cycle and a firm grasp of accounting fundamentals.

Strong Microsoft Excel skills and general proficiency with MS Office.

High degree of accuracy and attention to detail — you catch errors before they become problems.

Ability to work independently, manage priorities, and meet recurring deadlines.

Discretion in handling confidential financial, payroll, and HR information.

Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration preferred; relevant experience considered in lieu of degree.
