The Receptionist serves as the first point of contact for residents, families, visitors, vendors, and staff. This position is responsible for creating a welcoming and professional environment while managing the facility's front desk operations, answering phones, directing visitors, and providing administrative support. The Receptionist plays a vital role in ensuring excellent customer service and maintaining confidentiality in accordance with HIPAA regulations.
Greet residents, visitors, families, vendors, and staff in a professional and courteous manner.
Answer, screen, and direct incoming telephone calls promptly and accurately.
Maintain the front desk area to ensure a clean, organized, and welcoming environment.
Sign visitors in and out according to facility policies and security procedures.
Verify visitor identification and ensure compliance with infection prevention and visitation protocols.
Assist with resident and family inquiries or direct them to the appropriate department.
Receive, sort, and distribute incoming mail, packages, and deliveries.
Prepare outgoing mail and coordinate courier services as needed.
Maintain office supplies and notify management when replenishment is needed.
Assist with filing, scanning, copying, data entry, and other administrative tasks.
Schedule appointments or meetings as requested.
Maintain confidentiality of resident, employee, and facility information.
Communicate effectively with nursing staff, department managers, and other team members.
Assist with emergency communication procedures when necessary.
Perform additional administrative duties as assigned.
Previous receptionist, customer service, or administrative experience preferred.
Healthcare, skilled nursing, or assisted living experience preferred but not required.
Excellent customer service and interpersonal skills.
Strong verbal and written communication abilities.
Professional appearance and positive attitude.
Ability to multitask in a fast-paced environment.
Strong organizational and time management skills.
Basic computer proficiency, including Microsoft Office (Word, Outlook, Excel).
Ability to operate multi-line telephone systems and office equipment.
Ability to maintain confidentiality and comply with HIPAA regulations.
Ability to sit or stand for extended periods.
Frequent use of hands for typing and office equipment.
Ability to occasionally lift up to 20 pounds.
Ability to communicate clearly in person and by telephone.
Indoor healthcare setting.
Frequent interaction with residents, visitors, families, and healthcare professionals.
May require occasional evenings, weekends, or holiday coverage based on facility needs.
