Position Summary
The Recruitment Support Specialist plays a vital operational and administrative role within the Recruitment Department, providing comprehensive support across all levels of the team—from Recruitment Specialists and Supervisors to Managers and Directors. This position ensures the smooth execution of recruitment initiatives, ambassador programs, events, and administrative processes that directly support Gift of Life Marrow Registry’s mission to grow the donor registry.
The ideal candidate is highly organized, detail-oriented, and collaborative, with the ability to manage multiple priorities while supporting field-based recruitment efforts, campus programs, and large-scale events.
Key Responsibilities
· Provide logistical and administrative assistance to Recruitment Specialists and other staff to facilitate community engagement and Gift of Life’s recruitment mission.
· Assist management with administrative and operational tasks to ensure recruitment initiatives run efficiently and on schedule.
· Ensure recruitment supplies are received and properly distributed; troubleshoot issues related to shipping, receiving, and inventory.
· Support the applicant’s progression through the application process of the organization’s college internship, the Campus Ambassador Program.
· Review and screen Campus Ambassador applications to ensure alignment with program goals and requirements.
· Facilitate ongoing communication with applicants and Campus Ambassadors, including interview invitations, acceptance notifications, program updates, and reminders.
· Manage and allocate point distributions for Campus Ambassadors participating in recruitment events, ensuring accurate and timely updates across tracking platforms.
· Assist with training sessions for coordinators and ambassadors on an as-needed basis.
· Maintain accurate records, reports, and documentation related to recruitment programs, events, and ambassador engagement.
· Coordinate and assist in the planning and execution of annual Campus Ambassador Retreat(s) and other recruitment-related events.
· Support event logistics including sending invitations, tracking RSVPs, booking travel (flights, ground transportation), and securing accommodations and venues.
· Create and maintain detailed planning timelines, checklists, and communication schedules to ensure all event elements are completed on time.
· Collect and organize post-event feedback to evaluate success and identify opportunities for improvement.
· Support the development, updating, and distribution of recruitment guides, educational publications, brochures, and flyers for drive coordinators and recruitment programs.
Qualifications
· Bachelor’s degree; equivalent experience considered.
· 1–3 years of experience in administrative support, program coordination, event planning, or recruitment-related roles preferred.
· Experience working with college students, ambassadors, or volunteer programs is a plus.
· Comfort with fast-paced environments
· Occasional evening and weekend work may be required to support recruitment events and retreats.
· Limited travel may be required.

Physical Demands
This position is basically sedentary with some walking, standing, stooping and lifting required. Occasional lifting of objects weighing in excess of 20 pounds.
Pay: $45,000.00 per year
