A multi-generational, family-owned real estate investment and development firm based in New York City is seeking an Executive Operations Manager to support leadership effectiveness and organizational clarity as the firm manages its portfolio.
The firm owns and operates a diversified portfolio of residential, commercial, and mixed-use assets throughout the New York metropolitan area, including more than one million square feet of commercial real estate in Manhattan. The organization operates in a lean, hands-on environment and maintains long-standing relationships within the real estate industry.

POSITION SUMMARY
The Executive Operations Manager will provide administrative and organizational support to the President, under the direction of the Chief Operating Officer. The role is responsible for organizing communications, reviewing and summarizing real estate documents, and helping ensure key portfolio matters are clearly presented and properly tracked.
This position requires strong written skills, attention to detail, and the ability to reduce complex lease, legal, and operational materials into concise summaries for executive review. The role is execution-focused and suited for a structured professional comfortable working in a small, confidential real estate office.
This position reports directly to the Chief Operating Officer.
KEY RESPONSIBILITIES
Executive Organization & Communication
- Review, organize, and prioritize executive emails and correspondence.
- Draft and edit written communications as needed.
- Track commitments, deadlines, and follow-up items.
Real Estate Document Review
- Review and summarize commercial leases, amendments, and related agreements.
- Prepare concise briefs outlining key lease terms and business points.
- Organize materials for meetings with brokers, lenders, attorneys, and property managers.
Portfolio Coordination
- Maintain organized tracking of active portfolio matters and lease discussions.
- Monitor key dates, filings, and documentation requirements.
- Ensure materials are clearly prepared in advance of executive review.
Administrative & Operational Support
- Maintain structured digital and physical file management systems.
- Coordinate information flow between accounting, legal, and property management.
- Handle sensitive financial and operational information with discretion.
- Assist with special projects as directed by the COO.
IDEAL CANDIDATE PROFILE
Professional & Technical Qualifications
- 5–10 years of experience in commercial real estate or executive-level support roles.
- Strong familiarity with commercial leases and real estate documentation.
- Experience working closely with senior executives preferred.
Core Skills
- Excellent communication skills with the ability to clearly summarize contracts and agreements.
- Strong attention to detail and organizational ability.
- Comfortable reviewing legal and real estate documents and identifying key business terms.
- Proficiency in Microsoft Office and structured document management.

EDUCATION
- Bachelor’s degree required.
- Advanced degree is a plus but not required.
Pay: $150,000.00 - $190,000.00 per year
