Multi-family apartment community Leasing Agent. Customer service knowledge and experience are important, as you are the face of the community.
Primary job responsibilities include, but are not limited to:
- Greet prospects and qualify by reviewing all criteria (ask questions; utilize completed guest cards, etc.).
- Become an expert on the features, benefits, and amenities of the community as well as specific floor plan styles. Comprehend how this compares to local market competitors and provide information to prospects throughout the rental process.
- Demonstrates a sense of urgency with prospective and current residents in answering phone calls, responding to emails, and following up on inquiries and/or addressing concerns.
- Conducts timely follow-up on leads for new leasing opportunities and overcomes prospect objections and close the sale.
- Establishes timely and accurate record keeping while maintaining prospect information and preparing the rental application and review of qualifying documents.
- Presents the community, model apartments, and amenities to prospective residents in a professional and knowledgeable manner throughout the tour process.
- Maintains updated rent ready apartment list and confirms apartments are ready for move in before new tenant arrives.
- Displays excellent customer service by assisting residents in a courteous and efficient manner, playing a vital role in ensuring overall resident satisfaction and retention.
- Monitors and maintains future resident list applicants and notifies applicants of future availability in a timely fashion.
- Promptly notes changes in availability of apartments and expeditiously processes applicants from the future resident list to fill vacant apartments.
- Evaluates applicant qualification documents and prepares lease documents for approval and execution by Community Manager.
- Exhibits proficiency in understanding tenant/landlord regulations along with lease documents. Further demonstrates knowledge of lease guidelines and rules when communicating to future and current residents.
- Ensures the models, vacant apartments, and common areas are in proper tour condition and personally inspects areas before tours or move-in, reporting deficiencies to Community Manager.
- Interacts amicably with prospects, applicants, and residents with a “service-minded” attitude and addresses any needs and concerns regarding the leasing process and resident services.
- Uses discretion and maintains confidentiality of co-workers, management, owners, past and current residents, and vendors.
- Adheres to established regulations related to the Fair Housing Act.
- Assist in monitoring renewals. Distribute and follow-up on renewal notices.
- Monitor advertising effectiveness. Gather information about market competition in the area and file.
- Confirm required utilities are established prior to tenant move in.
Administrative
- Accept and post rental payments as needed
- Type leases and complete appropriate paperwork and input information accurately and in a timely manner. Review with the Community Manager prior to obtaining signatures
- Maintain current resident files
- Maintain and record daily inspections for the community
- Distribute all company or community-issued notices
- Maintain accurate monthly commission records on leases and renewals for bonus purposes
- Assist management team with other various tasks as required
- Consistently implement policies of the community
Resident Retention
- Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments
- Quickly complete maintenance service requests and inform the maintenance team. Answer questions for residents about the community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters
- Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests on a weekly basis
- Maintain open communication with Property Manager and Maintenance Supervisor
- Contribute to cleanliness and curb appeal of the community on a continuing basis
- Assist in planning resident functions. Attend functions and participate as host for any functions as needed
Position Specifications/Scope
Bilingual – English / Spanish, Sales Experience, CAM License & College Degree are a plus Knowledge, Skills, Abilities:
- Good verbal and written communication skills
- Proper telephone etiquette
- Working knowledge of computers
- Willingness to work with the public on a daily basis
- Minimum typing speed: 40-45 wpm
- Willing to work on Weekends as needed
