Overview
A prestigious luxury condominium association is seeking a polished, organized, and proactive Administrative Assistant to support the Property Manager and daily operations of the community.
This position is ideal for a candidate with strong administrative, accounting support, and resident service skills who thrives in a fast-paced residential environment and understands the importance of professionalism, discretion, organization, and follow-through.
Key Responsibilities
- Provide administrative and operational support to the Property Manager and management office
- Process invoices, vendor paperwork, and assist with accounts payable coordination
- Assist with payroll processing and employee administrative documentation
- Coordinate and process renter and buyer application packages, background documentation, and approvals
- Maintain association records, filing systems, resident files, vendor documentation, and office organization
- Assist with software and database upkeep, including resident information, work orders, and records management systems
- Answer phones, emails, and resident inquiries in a professional and timely manner
- Assist residents with general requests, access credentials, forms, packages, and operational questions
- Coordinate vendor access, scheduling, certificates of insurance, and service requests
- Prepare notices, correspondence, meeting packages, and operational reports as directed
- Track and follow up on resident requests, violations, maintenance matters, and open operational items
- Maintain office supply inventory and assist with overall office administration
- Support special projects and operational initiatives as assigned by management
Qualifications
- Minimum 4 years of administrative experience, preferably in condominium, HOA, hospitality, or property management environments
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Professional demeanor with strong customer service skills
- Ability to handle confidential information with discretion
- Experience processing invoices, applications, and administrative financial support tasks preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Experience with property management software platforms is a plus
- Bilingual English/Spanish

Pay: $20.00 - $22.00 per hour
