Job Summary
We are seeking a dynamic and organized Part-Time Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating office activities, managing vendor relationships, supporting team members, and maintaining efficient workflows. Responsibilities
- Manage daily office operations, including front desk duties, filing, and calendar management to ensure seamless workflow
- Coordinate scheduling for meetings, events, and appointments with attention to detail and efficiency
- Supervise administrative staff and provide training & development support to foster team growth
- Oversee vendor management, including negotiating contracts, processing invoices, and maintaining supplier relationships
- Handle bookkeeping tasks using accounting software such as QuickBooks, including payroll processing and expense tracking
- Support human resources functions such as onboarding new employees, maintaining confidential personnel files, and assisting with employee communication
- Manage office supplies inventory and oversee budgeting to optimize resources and control costs
- Ensure the confidentiality of sensitive information while maintaining high standards of professionalism in all interactions
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Demonstrated supervisory experience leading teams or managing staff members effectively
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets and other financial software tools
- Experience with QuickBooks or similar accounting software; familiarity with bookkeeping, payroll, and budgeting processes
- Excellent communication skills—both verbal and written—with a professional phone etiquette
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Knowledge of vendor management practices and experience handling confidential information securely
- Background in event planning, client communication, or front desk operations is a plus
- Ability to adapt quickly to new technologies and office management systems
