We are seeking an experienced Accounting & Administration Manager to oversee the company's day-to-day accounting, payroll, HR administration, and office operations. This is a hands-on role reporting directly to the President & CEO and serving as a key member of our management team.
Position Summary
The Accounting & Administration Manager is responsible for managing all accounting and administrative functions of the company, including accounts payable, accounts receivable, payroll, HR administration, office management, insurance administration, and support of construction accounting activities.
The ideal candidate will be highly organized, detail-oriented, capable of working independently, and comfortable managing multiple priorities in a fast-paced construction environment.
Primary ResponsibilitiesAccounting & Finance
- Manage full-cycle Accounts Payable and vendor payments.
- Manage Accounts Receivable, collections, and customer payment tracking.
- Process monthly billing support and maintain accurate contract records.
- Prepare monthly accrual schedules and Work-in-Progress (WIP) reports.
- Reconcile bank and credit card accounts.
- Assist external accounting firm with month-end and year-end close.
- Maintain accounting records within QuickBooks.
- Monitor cash balances and provide weekly cash reports.
- Support annual audits, tax filings, and bonding requests.
- Maintain subcontractor compliance documentation, W-9s, COIs, and lien releases.
Payroll & Human Resources
- Process weekly payroll for field and office employees.
- Maintain employee personnel files and records.
- Administer employee onboarding and offboarding.
- Coordinate benefits enrollment and employee changes.
- Track PTO, employee certifications, and training records.
- Assist with workers' compensation administration and claims.
- Maintain compliance with employment laws and company policies.
Office Administration
- Manage day-to-day office operations.
- Coordinate office vendors, supplies, and service providers.
- Maintain company vehicle records and registrations.
- Manage insurance renewals and certificates.
- Coordinate IT support vendors and office technology needs.
- Assist management with special projects and reporting.
Qualifications Required
- 5+ years of accounting or bookkeeping experience.
- 3+ years of payroll processing experience.
- Strong knowledge of Accounts Payable and Accounts Receivable.
- Experience with QuickBooks.
- Proficiency in Microsoft Excel.
- Excellent organizational and communication skills.
- Ability to work independently and prioritize multiple tasks.
- High degree of accuracy and attention to detail.
- Construction industry experience.
- Experience with WIP reporting and job costing.
- Experience with Textura, Procore, or similar construction platforms.
- Human Resources administration experience.
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field.
