Overview
The Administrative & Events Specialist supports the successful planning, coordination, and execution of university events while providing high-quality administrative support to the Campus Life Department. This position serves as a professional ambassador for Miami Regional University by delivering exceptional customer service and creating positive experiences for students, employees, alumni, community partners, and guests.
The ideal candidate is energetic, organized, service-oriented, and enjoys working in a collaborative, fast-paced higher education environment where no two days are alike.
Essential Duties and Responsibilities
Administrative Support
- Provide administrative support for departmental operations.
- Maintain electronic and paper records.
- Monitor departmental inventory and supplies.
- Process event documentation and maintain event files.
- Assist with coordination, calendars, meetings, and event logistics.
Event Operations
- Assist with set up and execution of university events.
- Prepare event materials, signage, name badges, promotional items, and registration supplies.
- Room setup and breakdown.
- Transport event materials between campus and locations, when necessary.
- Assist vendors, guests, speakers, and volunteers.
- Ensure event spaces meet university presentation standards.
- Troubleshoot operational issues during events.
- Assist with photography and documentation of university events, if requested.
- Support evening, weekend, and off-campus activities.
Customer Service & Community Engagement
- Provide exceptional service to students, faculty, staff, alumni, community partners, and prospective students.
- Represent MRU professionally at recruitment activities, commencement, orientations, graduations, recognition ceremonies, and community events.
- Build positive relationships with diverse internal and external stakeholders.

Minimum Qualifications
- High school diploma or GED required.
- One year of administrative, customer service, hospitality, or event support experience.
- Bilingual (English/Spanish) required.
- Valid driver's license and reliable transportation.
- Proficiency with Microsoft Office.
- Ability to work flexible hours, including evenings and weekends.
Preferred Qualifications
- Experience working in higher education.
- Experience with event planning.
- Experience coordinating vendors.
Physical Requirements
The employee must regularly:
