Overview
We're seeking a hands-on manager to own, maintain, improve, and document our internal Microsoft-based business systems—Power Apps, Power Automate, Dataverse, SharePoint, Teams, Excel, Power BI, and related Microsoft 365 tools. A core focus of this role is building and refining automated workflows and applying AI tools (Copilot, Copilot Studio, AI Builder) to eliminate manual work and improve efficiency. This person bridges operations, accounting, field, and management, keeping systems organized, secure, and reliable.
The ideal candidate can troubleshoot a broken automation, design an AI-assisted workflow, improve a Dataverse table, write a clear SOP, and record a training video with equal ease. This is a systems ownership and automation role, not basic IT support.
Responsibilities
- Automation & AI Enablement
- Design, build, and maintain automated workflows across Power Automate, approvals, notifications, and scheduled processes.
Systems Ownership
- Administer and improve Power Apps, Dataverse, SharePoint, Teams, Power BI, and related Microsoft 365 systems.
- Maintain clean ownership, service accounts, and permissions so systems don't depend on one person.
- Set development, testing, and production standards; manage security roles and access controls with leadership and outside IT.
Process Improvement
- Map department workflows to reduce manual work, missed steps, and duplicate entry.
- Translate operational needs into practical automations, systems, dashboards, and tracking tools.
- Standardize workflows across accounting, field operations, payroll, invoicing, approvals, and safety.
- Vet internally built systems before rollout.
Documentation & Training
- Create SOPs, process maps, checklists, and training videos; build a searchable internal library.
- Ensure each process has a documented owner, purpose, instructions, and escalation path.
- Train employees and support them through rollout.
Governance
- Maintain a system inventory (apps, flows, tables, owners, dependencies, status) and a change log.
- Set standards for naming, permissions, change requests, testing, and retirement.
- Give leadership recurring updates on system health, issues, and risks; coordinate with outside vendors as needed.
- Identify high-impact opportunities to automate repetitive, manual, or error-prone tasks.
- Apply AI tools—Copilot, Copilot Studio, AI Builder, and other approved services—to improve documentation, reporting, and internal workflows responsibly and without added risk.
- Monitor automations and integrations; troubleshoot failed flows, broken connectors, and access issues.
Required Qualifications
- Strong hands-on experience designing and maintaining automated workflows in Power Automate and the broader Power Platform (Power Apps, Dataverse, SharePoint, Teams, Excel, Power BI).
- Demonstrated experience applying AI tools (Copilot, Copilot Studio, AI Builder, or similar) to streamline business processes and documentation.
- Experience administering Microsoft 365, including Entra ID, permissions, role-based access, and licensing.
- Skilled at troubleshooting and optimizing workflows and automations.
- Ability to document clearly and work with non-technical staff.
- Highly organized, able to manage multiple projects, with a focus on practical improvements over technology for its own sake.
Preferred Qualifications
- Associates or Bachelors in a related field of study.
- 1-3 years of industry experience (direct or adjacent).
- Power Platform certifications (PL-200, PL-400, PL-500, PL-600).
- Deep familiarity with AI-driven automation—Copilot Studio, AI Builder, Azure AI, or practical generative AI use.
- Experience with Power Platform governance, ALM, solution deployments, and service accounts.
- Background in accounting, field service, construction, oil and gas, logistics, or operations-heavy businesses.
- Experience building SOP libraries, training videos, or internal knowledge bases; basic SQL, API, JSON, or Power Query.
