Summary: We are seeking a clerically experienced, detail-oriented professional who can properly withstand a negatively-impacted environment. This position reports directly to the Funeral Directors and exists primarily to serve the families within our care. At times, this position requires de-escalation of emotions with compassion and grace to families in grief.
General Responsibilities:
- Communicate with families via phone and email in a timely manner with kindness and compassion. Greet and seat families for arrangement appointments.
- Set arrangement appointments, communicate daily and weekly schedule with designated Director as needed.
- Unroll phone line to answering service on a daily basis first thing in the morning.
- Dispatch on-call staff for “First Calls” from hospitals, nursing homes, hospice care, or Coroner. Accurately transcribe dispatch (“First Call”) sheet for staff and Decedent file.
- Manage Call/Decedent log and input case numbers into software.
- Accurately input Decedent information into Washington or Oregon State database for death certificate on or quickly proceeding date of death.
- Follow up with medical providers or County Coroner for certification of death certificate.
- Process Burial Transit Permits for Cremations and Burials. Order death certificates via State portal.
- Keep abreast of State rules and procedures for death certificate entry and processing.
- Create invoices and process check, debit/credit, and cash payments in billing software.
- Create bank deposits as needed. Accurately update deposit log and submit to accountant weekly, ensuring dates of log and invoice payments in software match.
- Create spreadsheets and log receipts to reconcile with monthly statements.
- Compile obituaries from outline provided by family. Submit local and out-of-state obituaries as needed to requested Newspapers and our website.
- Create Tribute videos on software for Services. Properly download onto thumb drives and DVDs.
- Create and print Service Folders and Register Books via establishment software.
- Ensure office supplies are fully stocked at all times.
- Collect accumulated shifts and calls from staff preceding payroll deadline to ensure payment.
- Input biweekly payroll in Excel and submit to Accountant preceding deadline.
- Keep detailed and accurate record of Decedents’ belongings on file.
- Surrender Cremains, death certificates, and belongings to families after proper identification and ensure all paperwork is signed and in order.
- Assist with Memorial, Celebration of Life, and Funeral Services during the week (upon request).
-Complete janitorial tasks as needed throughout the day.
