FINANCE ADMINISTRATOR
(BOOKKEEPING & DATA MANAGEMENT)
Position Summary
The Finance Administrator is a position responsible for supporting the church’s financial operations, including bookkeeping, payroll administration, and financial data management. This role ensures accurate and timely maintenance of financial records in compliance with church policies and applicable regulations.
The Finance Administrator will work with a high degree of accuracy, confidentiality, and professionalism while supporting day-to-day accounting functions and financial reporting processes. THIS POSITION REQUIRES EXTENSIVE EXPERIENCE UTILIZING GUSTO. Gusto is Messiah’s enterprise management system for time keeping, payroll, benefits, performance measurement and other potential HR/financial functions.
Essential Duties and Responsibilities
Bookkeeping and Accounting Functions
- Maintain accurate and current financial records in accordance with generally accepted accounting principles (GAAP) or organizational standards
- Record and classify financial transactions in the general ledger and related accounting systems
- Reconcile bank accounts, credit card statements, and other financial accounts on a regular basis
- Assist with preparation of monthly and periodic financial reports for review by leadership
- Maintain organized financial documentation in accordance with record retention policies
Payroll Administration
- Process payroll accurately and on schedule using Gusto
- Maintain employee payroll records, including wages, deductions, benefits, and tax-related information
- Support employee onboarding and offboarding within Gusto, including required documentation and system setup
- Ensure compliance with applicable payroll tax laws, filing deadlines, and reporting requirements
- Identify and resolve payroll discrepancies in coordination with leadership and/or Gusto support
Financial Data Management
- Maintain and update financial databases, spreadsheets, and reporting tools with a high level of accuracy
- Ensure consistency and integrity of financial data across systems
- Generate reports and summaries as requested for budgeting, forecasting, or operational review
- Assist with tracking of budgets, expenses, and financial allocations
Compliance and Administrative Support
- Maintain strict confidentiality of financial, employee, and organizational information
- Support audit preparation and respond to documentation requests as needed
- Ensure adherence to internal financial controls and approved procedures
- Perform other finance-related administrative duties as assigned
Minimum Qualifications
- Minimum of 3–5 years of experience in bookkeeping, accounting, or financial administration
- Extensive hands-on experience with Gusto required
- Strong understanding of accounting principles and payroll processes
- Experience with bank reconciliations, journal entries, and financial reporting
- Proficiency working with Microsoft Excel
- Demonstrated ability to handle confidential and sensitive information appropriately
- Strong attention to detail, accuracy, and organizational skills
- Ability to work independently and meet deadlines with minimal supervision
Preferred Qualifications
- Experience in nonprofit, faith-based, or similar organizational environments
- Familiarity with additional accounting systems or financial management software
- Experience supporting audit processes or external financial reviews
Position Details
- Functionaly reports to Messiah Office Manager
- Supports Council Financial Secretary and Council Treasurer with monthly reporting data
- Part-time position (approximately 30 hours per week) envisioned for church staff of 20 +/-
- Schedule to be determined in coordination with organizational needs, however partial work from home option possible with adequate internet secure access
- May require occasional schedule flexibility during financial reporting or payroll cycles
- Must adhere to Messiah Employee Handbook requirements (which generally follows California employment law)
Pay: $28.00 - $35.00 per hour
