About the Practice
We are a well-established medical practice in North Bethesda, MD, dedicated to providing exceptional care to our patients. We are seeking a highly organized, proactive, and personable Executive Assistant to support our Senior Partner and Executive team, helping to ensure the smooth and efficient operation of our leadership team.
Position Summary
The Executive Assistant will provide high-level administrative support to the Senior Partner and members of the Executive team. This role requires excellent judgment, strong communication skills, and the ability to manage multiple priorities in a fast-paced medical practice environment. The ideal candidate is detail-oriented, discreet, and comfortable interacting with physicians, staff, patients, and outside partners on a daily basis.
Key Responsibilities
Calendar Management: Proactively manage and coordinate complex calendars for the Senior Partner and Executive team, scheduling appointments, resolving conflicts, and ensuring efficient use of time.
Correspondence: Draft, edit, and manage email and other written correspondence on behalf of leadership; ensure timely and professional communication with internal staff, patients, and external partners.
Meeting Planning & Coordination: Organize and coordinate meetings, including scheduling, preparing agendas, arranging logistics/venues, and following up on action items.
Document Preparation: Prepare, proofread, and format reports, presentations, letters, and other business documents.
Office & Administrative Support: Serve as a point of contact between the Executive team and internal departments, staff, and external vendors or partners.
Confidentiality: Handle sensitive and confidential information (including patient-adjacent business and HR matters) with the utmost discretion and professionalism.
Project Support: Assist with special projects, practice initiatives, and events as assigned by the Senior Partner or Executive team.
Qualifications
Two+ years of experience as an Executive Assistant supporting senior management.
Associate's or Bachelor's degree preferred; equivalent professional experience will be considered.
Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort learning new software/EHR systems.
Ability to manage multiple tasks and shifting priorities with professionalism and composure.
High level of discretion when handling confidential information.
Strong interpersonal skills and a positive, service-oriented attitude.
