We are seeking a dedicated and highly organized Medical Office Administrator to join our healthcare team. The ideal candidate will possess extensive experience in medical administrative support, with a strong understanding of clinic operations, medical billing, and electronic health record (EHR) systems. As a Medical Office Administrator, you will play a vital role in ensuring the smooth functioning of our medical practice by managing front desk operations, coordinating patient appointments, and supporting clinical staff with administrative tasks.
Duties
- Manage patient scheduling using various EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, and eClinicalWorks to optimize clinic flow.
- Verify insurance coverage and perform insurance verification procedures for Medicare, Medicaid, and other insurance providers.
- Handle medical billing and collections efficiently, ensuring accurate CPT coding, ICD-10 coding, and documentation review for claims processing.
- Maintain and organize medical records while ensuring compliance with HIPAA standards and health information management protocols.
- Provide exceptional patient service at the front desk by greeting patients, answering multi-line phone systems, and managing appointment intake with professionalism.
- Support clinical staff with documentation review, care plan coordination, and medical administrative support tasks.
- Utilize office management software such as Microsoft Office Suite, Eaglesoft, Dentrix, or similar platforms for scheduling, filing, and record keeping.
- Perform office management duties including filing, data entry (10 key typing), and maintaining a clean and organized work environment.
- Assist with insurance billing processes and follow-up on unpaid claims or collections as needed.
- Ensure adherence to office policies regarding phone etiquette, patient confidentiality, and documentation accuracy.
Skills
- Extensive knowledge of medical terminology, ICD-9/ICD-10 coding standards, CPT coding procedures, and medical billing practices.
- Proficiency in EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks; experience with Eaglesoft or Dentrix is a plus.
- Strong understanding of HIPAA regulations to safeguard patient information at all times.
- Excellent computer skills including Microsoft Office applications; familiarity with health information management software is essential.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced clinic environment.
- Outstanding communication skills with a focus on patient service excellence and professional phone etiquette.
- Bilingual abilities are highly desirable to serve diverse patient populations effectively.
- Prior clinic or dental office experience is preferred; familiarity with dental terminology or hospital experience is advantageous.
- Knowledge of insurance verification processes and medical coding standards for accurate documentation review and billing support.
