We are a growing property management company overseeing multifamily communities throughout Chicago's North Shore and surrounding suburbs. We are seeking a highly organized, detail-oriented, and customer-focused Assistant Property Manager to support the management of a diverse residential portfolio.

About the Role
Unlike a traditional onsite Assistant Property Manager position, this role supports a portfolio of multifamily properties across multiple locations. The Assistant Property Manager works closely with Property Managers, maintenance teams, residents, vendors, and ownership groups to ensure smooth day-to-day operations.
The ideal candidate thrives in a fast-paced environment, enjoys problem-solving, and can effectively manage multiple priorities while delivering exceptional customer service.
ResponsibilitiesAdministrative & Financial Support
- Assist with rent collection and delinquency follow-up.
- Prepare and distribute notices as required.
- Process invoices and maintain vendor records.
- Assist with budget tracking and reporting.
- Support property managers with owner reports and operational updates.
- Maintain organized digital and physical property files.
- Cover for Property Managers when needed, either on site or remote.
Resident Relations
- Respond to resident inquiries, concerns, and maintenance requests via phone, email, and in person.
- Assist with move-ins, move-outs, lease renewals, and resident communications.
- Coordinate resident notices and community communications.
- Track renter's insurance compliance.
- Support resident retention initiatives and community events.
- Deliver outstanding customer service while maintaining positive resident relationships.
Leasing & Occupancy
- Respond to prospective resident inquiries.
- Schedule and conduct property tours as needed.
- Assist with processing rental applications and lease preparation.
- Track occupancy, renewals, and upcoming vacancies.
- Assist with marketing available units and maintaining online listings.
Property Operations
- Assist with property inspections and follow up on maintenance issues.
- Coordinate work orders and monitor completion timelines.
- Work with vendors and contractors to schedule services.
- Ensure vacant units are prepared for new residents.
- Maintain accurate records and documentation within the property management software.
QualificationsRequired
- 1–3 years of property management, leasing, customer service, or administrative experience.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize effectively.
- Proficiency in Google Workspace.
- Valid driver's license and reliable transportation.
Preferred
- Multifamily property management experience.
- Experience with AppFolio or other property management software.
- Illinois Leasing Agent License (or willingness to obtain) or Illinois Broker's License
- Some knowledge of Fair Housing laws and leasing practices.
