Position Description:
The Part-Time Intake Specialist serves as the first point of contact for prospective students and visitors while providing administrative, intake, and data support for Adult Education programs. This position manages front desk operations, conducts student intake and orientation, maintains accurate student records, enters data into agency systems, and coordinates information with instructors and program staff to ensure a positive and efficient student experience.
Supervisor: Assigned Coordinator
Status: Non-Exempt
Schedule: Part-Time, up to 30 hours per week. Some evenings and Saturdays may be required.
Location: Main Campus and other locations as assigned.
Hourly Rate: $18.00 to $19.00 per hour
Responsibilities
- Create a positive and welcoming atmosphere for all students, applicants, and visitors.

Answer and direct phone calls while providing excellent customer service to students and visitors.

Greet and check in students and visitors in a warm and friendly manner and respond to inquiries.

Assist with curriculum and promotional material reproduction.
- Collect, verify, and enter student information accurately into TEAMS, Salesforce, Sync, and other agency databases.

Prepare, proctor, and close out student assessments in accordance with program procedures.

Maintain the reception area and all common areas at all times.

Maintain current knowledge of Adult Education and Literacy (AEL) policies related to registration, orientation, assessment, and data management.

Collect complete and accurate registration documentation from applicants.
- Facilitate individual new student orientations.
- Conduct weekly follow up communications with new applicants to complete enrollment and answer questions.

Assess incoming students according to program guidelines and policy.
- Maintain accurate attendance records and student contact hours in accordance with agency and funding requirements.

Report any record-keeping discrepancies to supervisor.

Create, file, and maintain accurate student files.
- Receive, sort, and distribute incoming mail.

Take inventory of supplies and restock as needed.

Adapt to changing priorities and respond effectively to immediate program needs.

Provide suggestions for improving systems and operating procedures.
- Participate in required staff development, training sessions and meetings; travel may be required.

Maintain ongoing communication with program management and staff.

Assist with periodic file audits.
- Perform other duties as assigned.
Education and Experience
- HS Diploma or GED required.

Associate’s degree or 60 college credit hours preferred.
- Bilingual in English and Spanish required.

Two or more years of experience in customer service, clerical support, student services, reception, education, or a related field preferred.

Advanced computer skills, including Microsoft Office and internet proficiency.

Ability to operate standard office equipment.

Experience with TEAMS, Salesforce, or other relevant database systems preferred.

LICENSES OR CERTIFICATES
Must possess a valid Class “C” Texas Driver’s License or obtain one within 30 days of becoming a Texas resident.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Work requires visual acuity, speech, hearing, and manual dexterity to operate standard office equipment. Duties include prolonged sitting, standing, walking, bending, and twisting as needed to perform essential functions.
